JOB SUMMARY:
Under general supervision, the Admissions Operations Assistant drives the technical and administrative processing of applications within the Office of Enrollment Management. This role supports the recruitment cycle for first-year, transfer, and graduate students while serving as a specialized liaison for Division I athletic recruits.
ESSENTIAL DUTIES:
- Execute the processing of incoming applications, transcripts, and standardized test scores to ensure efficient enrollment workflow.
- Coordinate with Division I coaches and athletes to facilitate pre-reviews, merit determination, and application follow-up.
- Calculate cumulative GPAs and determine merit scholarship levels for incoming students while performing regular data integrity checks.
- Assist in the production and distribution of all physical acceptance packets.
- Facilitate admissions-related summer orientation correspondence and maintain the orientation database.
- Evaluate international freshmen applications, verifying document credibility and using specialized software for international transcript analysis and merit assignment.
- Manage file completion, major changes, deferrals, cancellations, and the turndown process.
- Navigate Slate CRM for record consolidation, daily maintenance, and system upkeep.
- Provide administrative backup for the Assistant Director of Admissions Operations and broader team members as assigned.
- Uphold strict confidentiality regarding student personal information and academic records at all times, adhering to university disciplinary standards.
- Perform other duties as assigned to support the Office of Enrollment Management.
GENERAL DESCRIPTION (% of time):
30% First-Year Processing: Directs application flow, merit determination, and file movement to counselors.
25% Athletic Enrollment: Acts as a specialized liaison between coaches, athletes, and the admissions office.
25% CRM & Operations: Manages Slate maintenance, physical mailings, and administrative support.
20% Global & Graduate Enrollment: Coordinates with International Relations and Transfer teams for specialized processing.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Communication: Strong verbal and written skills with a commitment to high-level customer service and employee relations.
- Technical Proficiency: Expertise in Microsoft Office and a demonstrated ability to learn complex CRM software.
- Industry Knowledge: Familiarity with the college admissions cycle and the ability to operate standard office machinery.
- Operational Excellence: Exceptional organizational skills, attention to detail, and the ability to work independently with minimal supervision.
- Professional Judgment: Ability to display sound judgment to ensure timely completion of assigned tasks.
ERGONOMIC REQUIREMENTS:
The functions of the position usually performed sitting, but may require some amount of time standing. Some amount of stooping, kneeling, bending, crouching, lifting, walking, carrying and other movements may be required. Tasks involving working on a computer keyboard, calculator, cutting, labeling, and taping involve extensive wrist and hand movement. All individuals are required to be able to perform these movements without significant risk of injury to themselves or others.
QUALIFICATION STANDARDS
- Bachelor's degree in related field is preferred.
- Prior work experience in an educational setting is preferred.
