Summary ----------

The Admissions Specialist is responsible for assisting with the management of the application process for prospective students applying to Howard Community College. This part-time position focuses on providing exceptional customer service, guiding applicants through the admission requirements, and ensuring the accurate and timely processing of applications.

Additionally, the Admissions Specialist is responsible for the oversight and processing of applications for admission to the college, managing multiple tasks involving importing, scanning, and data entry of applicant documents using the client relationship management system (CRM) and student information system (SIS). Ensures that all required application documents are received and maintained in the students record.

This role functions as a part of a team and is the behind-the-scenes support of student admission documents and processes.

Essential Role Responsibilities ------------------------------

  • Review and process applications for general admissions and special admissions programs, including nursing and allied health, ensuring completeness and compliance with program requirements.
  • Provide front-line support with the Howard Hub, assisting students with admissions questions, next steps, and general enrollment processes.
  • Process and maintain caseloads of admissions applications and create new student records, including and not limited to dual-enrolled, traditional, international, immigrant, and honors applications as needed.
  • Verify transcripts, prerequisites, and supporting documents.
  • Enter and update applicant information in the colleges admissions system accurately.
  • Serve as a welcoming first point of contact for new and prospective students, delivering high-quality customer service in person, virtually, by phone, email, and live chat as needed.
  • Assist students with navigating the online application system and resolving any technical issues.
  • Maintain and update accurate applicant records and files using the colleges CRM system and SIS.
  • Creates and submits reports.
  • Reviews necessary documents for various application requirements, including test scores, letters of recommendation, essays, and residency and financial documents.
  • Follows up with applicants regarding their admissions status.
  • Scans and documents application materials, including documents received through mail, email, or digitally.
  • Work closely with the Nursing and Allied Health departments to stay informed about program requirements and admission criteria.
  • Coordinate with the Office of Admissions to align application processes with institutional policies.
  • Communicate application statuses and decisions to applicants in a timely manner.
  • Maintain accurate records of applicant data and generate reports as requested.
  • Track application trends and provide feedback to the Associate Director of Admissions.
  • Assist with information sessions, open houses, and orientation events for prospective students.
  • Prepare application materials and presentations as needed.
  • Accurately and securely processes all incoming transcripts and utilizes system workflows to move transcripts and other student documents for record updates.
  • Maintains confidentiality and security of student information and records, compliance with laws and policies.
  • Attends all appropriate conferences, workshops, meetings, and participates in other professional development opportunities.
  • Resolves problems related to areas of responsibility.
  • Attends staff development activities and updates skills as required and as necessary.
  • Performs other duties as assigned.

Minimum Education Required -------------------------

  • Associates degree

Experience Required -------------------

  • 1 year

Preferred Experience -------------------

  • Associates degree or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • All degrees must be from a recognized institutional accreditor.
  • Outstanding technology skills preferred.
  • Requires excellent knowledge of student information system, MS Office, including proficiency with Excel and Word.
  • Experience with Ellucian Recruit Colleague and Advise preferred.
  • Excellent communication, organization, and interpersonal skills, including outstanding customer service skills and the ability to multi-task and meet deadlines.
  • Ability to acquire, maintain, and update substantial information regarding college policies and procedures and work with a broad range of people.
  • Prior experience with diverse populations preferred, including international students, students with disabilities, speakers of English as a second language, veterans, and active military personnel and their families.
  • Ability to be flexible and work as a member of a large team required.
  • Extensive knowledge of college policies, procedures, and services.
  • Detailed knowledge of policies, procedures, and services related to enrollment, including admissions, assessment, advising, registration, and credit for prior learning policies and procedures.
  • Knowledge of federal and state laws and regulations and college policies and procedures regarding the enrollment of secondary school students.
  • Knowledge of services for special populations, such as students with disabilities, international citizens, and military personnel.
  • Knowledge of federal and state privacy laws and college policies for compliance.
  • Requires excellent knowledge of student information systems, MS Office, including proficiency with Excel and Word.
  • Experience with a CRM Customer Relations Management System and ImageNow software preferred.
  • Knowledge of telephone and voicemail systems.
  • Ability to acquire supervisory skills.

  • Ability to communicate effectively both verbally and in writing.
  • Regular attendance is a requirement of this job.
  • Performs all duties while considering the impact of any actions on the colleges sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
