    Position Information

    Job Title Advancement and Donor Relations Coordinator (internal only) Position Summary

    This position will report directly to the Vice President (VP) of Advancement. The Advancement and Donor Relations Coordinator plays a central role in fostering meaningful relationships with donors to ensure long-term engagement and philanthropic support for the University. The position is responsible for developing and executing stewardship strategies, creating donor communications, and supporting Advancement initiatives that align donor contributions with institutional goals. Additionally, this position will provide administrative and budget support to the Advancement division.

    Essential Duties and Responsibilities

    Donor Relations

    • Partner with the VP of Advancement to implement strategies for donor engagement, recognition, and stewardship across all giving levels.
    • Develop and distribute stewardship reports, personalized correspondence, and impact updates to donors. •

    Manage regular donor communications, including newsletters, annual impact reports, digital updates, and acknowledgment letters.

    • Coordinate donor recognition events, receptions, and gatherings to deepen donor relationships.
    • Assist with donor meetings and presentations by preparing briefing materials and follow-up communications.
    • Maintain and track stewardship activities in collaboration with the Director of Advancement Services to ensure alignment with University policies and procedures.
    • Support Advancement campaigns by identifying stewardship opportunities that increase donor retention and participation.

    Advancement Administration

    • Manage calendars, coordinate schedules, and organize internal and external meetings for Advancement staff.
    • Arrange travel plans, itineraries, catering, and meeting Logistics.
    • Monitor and maintain Advancement division budgets, reallocating funds, and manage purchase processes. Provide monthly reports on budget status.
    • Provide administrative support to the Board of Trustees Advancement Committee and Advancement Team initiatives.
    • Complete special projects as assigned by the VP of Advancement

    Education, Certifications and/or Licenses

    Bachelor's degree in education, communications, business administration, or a related field; advanced degree preferred.

    Experience

    Experience:

    o 3-5 years' experience in administration, donor relations, or related fields.

    o Proven experience in donor engagement, stewardship communications, or fundraising support.

    o Strong organizational, communication, and interpersonal skills.

    o Familiarity with systems and reporting tools.

    o Ability to work collaboratively across departments to achieve shared goals.

    o Commitment to advancing equity and accessibility in scholarship programs.

    Technical Proficiency:

    o Expertise with donor management systems such as Blackbaud (Raiser's Edge) or similar platforms.

    o Familiarity with university systems like PeopleSoft or Colleague by Ellucian.

    o Advanced skills with the Microsoft Suite of tools.
