Position Summary:The Advancement & Community Engagement (ACE) Assistant provides administrative and logistical support for the Advancement & Community Engagement department. This position serves as the primary support role for donation processing, donor database management, records administration, volunteer administration support, event logistics, in-kind donation processing, and general department operations.
The ACE Assistant works closely with the ACE Specialist, Director of Advancement & Community Engagement, and Strategic Partnerships & Communications Manager to support fundraising activities, donor stewardship efforts, volunteer engagement, community outreach initiatives, and departmental operations. This role helps ensure timely, accurate, and professional administrative support while contributing to AWAIC’s mission and community impact.
This position requires strong organizational skills, professionalism, reliability, attention to detail, adaptability, and a commitment to trauma-informed and mission-centered work.
Minimum Qualifications
- High school diploma or GED required.
- Some college coursework in Communications, Business Administration, Nonprofit Management, Marketing, or a related field preferred.
- Possession of a current State of Alaska driver’s license preferred.
- Ability to clear and maintain stringent federal, state, and local background clearances.
MinimumExperience
- One year of administrative, office support, customer service, nonprofit, volunteer, or data entry experience preferred.
- Experience using computers, spreadsheets, email systems, and office software applications.
- Strong organizational and communication skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
EssentialFunctions
Donation Processing & Database Support
- Prepare donor acknowledgements and support timely mailing and processing.
- Perform donation entry and donor database updates within the agency CRM.
- Maintain accurate donor records, mailing lists, electronic files, and constituent information.
- Prepare and distribute annual donor tax receipts and related donor documentation.
- Support records management, filing, scanning, and document organization.
- Maintain confidentiality and accuracy of donor and participant-related information.
- Assist with donor stewardship mailings and fundraising campaign support activities.
Reporting & Reconciliation Support
- Prepare supporting documentation, records, reports, and data necessary for reconciliation and reporting processes.
- Prepare documentation and assist with Finance-related recording, reconciliation, and reporting processes for cash and in-kind donations.
- Generate reports, donor lists, mailing lists, and data exports as assigned.
- Assist with maintaining data accuracy and database integrity.
Volunteer Administration Support
- Maintain volunteer records, applications, waivers, and participation documentation.
- Assist with volunteer onboarding paperwork and administrative processes.
- Support volunteer scheduling and communication efforts.
- Assist with volunteer recognition activities and volunteer stewardship communications.
- Maintain volunteer tracking and reporting records.
- Support volunteer activities related to fundraising events, community outreach initiatives, and agency projects.
In-Kind Donations & Haven Closet Support
- Assist with physical intake, sorting, organization, storage, and inventory support for in-kind donations.
- Maintain organized donation storage and inventory areas.
- Support operational needs of the Haven Closet through inventory organization, donation sorting, and supply coordination.
- Assist with donation tracking and documentation processes.
- Help support community donation drives and collection efforts as assigned.
- Assist volunteers supporting donation organization and sorting activities.
Events & Community Engagement Support
- Assist with planning and preparation for fundraising events, donor engagement activities, volunteer projects, and community outreach events.
- Support event logistics including registrations, setup, cleanup, auction preparation, materials organization, and attendee support.
- Prepare event materials, packets, signage, nametags, and registration supplies.
- Provide onsite event support and assist with post-event administrative tasks.
- Help maintain positive relationships with donors, volunteers, vendors, and community partners.
Administrative & Department Support
- Provide general administrative support for the Advancement & Community Engagement department.
- Assist with preparing mailings, donor materials, campaign materials, stewardship packets, and outreach materials.
- Support supply ordering, inventory organization, scheduling coordination, and department logistics.
- Maintain organized electronic and physical department records and files.
- Greet and assist donors, volunteers, and visitors in a professional and welcoming manner.
- Assist with general office support activities and special projects as assigned.
Communications Support
- Assist with newsletters, donor communications, social media content, and email campaign preparation as assigned.
- Support storytelling and content collection efforts that highlight agency impact and mission.
- Assist with assembling communication materials and outreach packets.
Supervisory Accountabilities:
