Position Summary

Position Summary: The Impact You'll Make

We are seeking a highly motivated Advancement Services Specialist to serve as the functional administrator of our donor database and a key pillar of our Advancement operations. This role is instrumental in maintaining the accuracy, integrity, and strategic utility of our donor records. Reporting to the Advancement Services leadership, you will be directly responsible for data management, gift processing support, reporting, and operational efficiency, ultimately empowering our team to execute successful fundraising, solicitation, and stewardship strategies.

What You'll Do: Core Responsibilities

This role is divided into five critical areas of responsibility that drive the success of the entire Advancement operation:

Data Management and Integrity (Database Administration)

  • Serve as the Raiser's Edge NXT Administrator: Maintain database accuracy and consistency by utilizing rigorous data entry protocols and quality control procedures to update constituent data.
  • Lead Database Hygiene: Assist in routine database maintenance, including resolving duplicate records, performing biographical updates, and ensuring accurate relationship management.
  • Coordinate Data Enrichment: Manage regular data append services through external vendors (e.g., NCOA and Alumni Finder) to ensure constituent records are current and complete.
  • Manage Workflows: Coordinate relationship management workflows among internal stakeholders, ensuring cross-departmental awareness of interactions with constituents.

Gift Management and Processing Support

  • Gift Processing: Support gift management to ensure the timely recording of all contributions.
  • Receipting and Documentation: Accept cash funds delivered to the Advancement Office, issue necessary receipts, and create documentation for the Gift Processor and WSSU Foundation personnel.

Analysis and Reporting

  • Strategic Reporting: Assist Advancement Services leadership with fundraising projects by verifying, preparing, and processing various standard and custom reports.
  • Drive Data Insights: Run queries and reports to provide valuable insights for internal business needs and respond to data requests from various stakeholders (from the original post).

Solicitations and Communications Support

  • Communication Flow: Support the timely, accurate, and efficient flow of communications to prospects and donors for gift solicitation, processing, and stewardship.
  • Data Segmentation: Support the segmentation and execution of data requests that underpin prospective donor solicitations and targeted communications.
  • Information Resource: Provide accurate information to internal and external constituencies including students, staff, faculty, alumni, donors, and the broader public.

Operational Efficiency and Process Improvement

  • System Implementation: Design and implement complex file, index, tracking, and record-keeping systems to improve departmental efficiency.
  • Research and Documentation: Research and gather records, data, and written information regarding university programs and events relevant to advancement operations.
  • Event Support: Assist in the coordination and execution of Advancement events, including monitoring engagement, facilitating registration, and providing coverage.
  • Administrative Support: Support the scheduling and facilitation of internal and external meetings.

Primary Function of Organizational Unit

The primary function of the Advancement Services unit at Winston-Salem State University (WSSU) is to provide the essential infrastructure and support necessary to facilitate successful fundraising, donor relations, and stewardship efforts. This unit oversees critical operational components such as gift processing, prospect research, donor data management, records maintenance, and reporting. By ensuring the integrity and efficiency of these systems, Advancement Services enables the university to cultivate and maintain strong donor relationships, maximize fundraising potential, and support the institution's broader strategic priorities, including student success, financial sustainability, and community engagement. Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Essential Skills & Competencies

  • Intermediate knowledge of Raiser's Edge NXT or other comparable complex CRM/fundraising databases preferred.
  • Exceptional organizational skills, meticulous attention to detail, and creative problem-solving ability.
  • Proven ability to manage complex data integrity projects and coordinate with external data vendors.
  • Excellent interpersonal and communication skills, with the ability to manage multiple priorities and communicate effectively with stakeholders at all levels.

Experience & Education

  • 1-3 years of professional experience in Advancement Services, Development, or a high-volume Nonprofit data environment.
  • Demonstrated experience with gift processing, receipting, and adherence to accounting/fundraising best practices.
  • Strong interest in data analysis and a commitment to maintaining absolute accuracy and confidentiality.
