Part-time hourly positions are not eligible for state benefits. Wage employees are restricted to working approximately 29 hours per week or less, not to exceed 1,500 hours annually. Schedule set by supervisor.

Reynolds is one of the largest community colleges in Virginia and serves Virginia's capital city and five nearby counties. Annually, our four campus sites serve approximately 13,000 credit students and provide training for 7,400 students through the Community College Workforce Alliance. The Advising & Transfer Services Support Specialist serves as the first point of contact and primary frontline administrative support for the Office of Academic Advising & Transfer Services. This position provides welcoming, accurate, and timely assistance to students, prospective students, families, faculty, staff, and visitors by triaging walk-in and telephone inquiries, assisting with appointment scheduling and basic student systems navigation, supporting registration-related processes, and maintaining efficient daily office operations. The position reinforces a student-ready advising environment by resolving routine questions when appropriate and providing clear, warm handoffs to professional staff when a student's need requires advising, transfer, financial aid, admissions, registrar, technology, or other specialized support. Assists with the development of office documents, such as training manuals, SOPs, and other documents in support of Academic Advising & Transfer Services leadership and support staff. Maintains front desk coverage, office organization, forms, supplies, signage, and student-facing materials needed for daily operations, working with the Dean of Enrollment Services Administrative Assistant on office procurement as needed. Assists with virtual registration lab for basic student questions and support as needed.

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications

  • Working knowledge of high-volume office, front desk, or student service operations.
  • Working knowledge of customer service practices, first-contact resolution, professional communication, and warm handoffs in case of escalation.
  • Demonstrated ability to use or learn student information systems (e.g. Oracle/PeopleSoft Student Information System and EAB Navigate), scheduling tools, Microsoft 365 applications, and other office technology.
  • Demonstrated ability to interpret and explain routine College, academic, and office policies and procedures within the appropriate scope of the role.
  • Demonstrated ability to maintain confidentiality, exercise sound judgment, and handle student information in accordance with applicable College expectations and privacy requirements (e.g. FERPA).
  • Demonstrated ability to prioritize competing requests, complete assignments within appropriate time frames, and remain organized during peak service periods.
  • Demonstrated ability to communicate effectively and respectfully with a diverse population of students, families, staff, faculty, and visitors.
  • Demonstrated ability to work independently, contribute to a team environment, and provide consistent support to full-time and Federal Work-Study staff.
  • Demonstrated ability to help support office leadership with creating, editing, and maintaining office documents such as schedules, training manuals, SOPs, reports, and other artifacts as requested.

Additional Considerations

  • Customer service, administrative support, call center, or front desk experience in higher education or a student services setting.
  • Experience with student information systems, appointment scheduling systems, or similar customer relationship/service platforms.
