The Project Manager will drive day-to-day operations during our media agency onboarding and transition. In this role, you will oversee detailed task execution, manage project documentation, align cross-functional deliverables, and facilitate seamless handoffs between incumbent and incoming agency partners.
Task & Timeline Management: Build and maintain detailed project plans, schedules, and task boards across transition pillars (e.g., technical access, data migration, account configuration, asset transfers).
Cross-Functional Alignment: Serve as the primary operational connector across Strategy, Planning, Analytics, and Operations workstreams to ensure alignment on daily deliverables.
Workstream Execution: Track ongoing milestones to maintain momentum and ensure key deadlines are met.
Documentation & Reporting: Produce clear weekly status reports, agendas, meeting recaps, and action-item trackers for internal teams and agency partners.
Meeting Facilitation: Coordinate and host working sessions, alignment calls, and status updates between internal stakeholders and agency teams.
Stakeholder Approvals: Track and secure necessary sign-offs from key stakeholders at critical project gates.
Risk Mitigation: Identify, document, and escalate potential blockers, timeline risks, or access issues to the Project Management Lead.
Proven track record in project management collaborating with diverse, cross-functional teams.
Sharp attention to detail with strong real-time problem-solving abilities.
Exceptional written and verbal communication skills across all organizational levels.
Strong facilitation skills with the ability to lead effective team meetings and ensure swift post-meeting follow-through.
High level of self-management, easily prioritizing multiple deadlines in a dynamic environment.
Basic Qualifications:
Bachelor’s Degree.
3+ years of project management experience within an advertising agency, marketing operations, or client-side media environment.
Proficiency in modern Project Management platforms (e.g., Asana, Jira, Workfront) and Google Workspace.
Bonus: Prior experience with digital marketing, media buying, or agency agency-to-agency transitions.
Preferred Qualifications:
4+ years of Project Management experience.
PMP Certification.
Hands-on experience with Adobe Workfront.
