About the Role
We're partnering with our client, a global logistics and freight forwarding company, to find an
experienced Air Import Coordinator for their Air Import Operations team. This role manages
international air import shipments from pre-alert through final delivery, working directly with
overseas offices, airlines, CFS facilities, and customers to keep shipments moving smoothly and
on time.

What You'll Do
Air Import Operations
- Manage air import shipments from receipt of pre-alert through final delivery
- Review MAWB, HAWB, commercial invoices, packing lists, arrival notices, and other
shipping documentation for accuracy
- Verify flight details, routing, arrival dates, piece counts, weights, and consignee
information
- Track shipments from origin through arrival and availability
- Monitor airline and CFS availability and coordinate freight recovery, transfer, and
delivery
- Prepare arrival notices and process freight releases
- Coordinate with truckers for pickup and final delivery
- Monitor shipments through proof of delivery and close files promptly
Customs & Regulatory Coordination
- Provide complete documentation to the Customs Brokerage team for entry preparation
- Monitor customs clearance status and communicate any holds or documentation issues
- Coordinate with Brokerage on CBP, FDA, USDA, or other government agency holds
when applicable
- Escalate discrepancies involving manifests, documentation, or shipment details
Customer Service
- Serve as the primary operational contact for assigned air import accounts
- Provide proactive shipment updates, communicating delays, holds, and delivery issues
promptly
- Respond to customer emails and requests professionally and within service standards
- Understand and follow individual customer SOPs
Overseas Office & Agent Communication
- Communicate with overseas offices and agents regarding bookings, pre-alerts,
documentation, and routing
- Follow up on missing or incorrect documentation before cargo arrival
- Identify and escalate recurring origin issues
Airline, CFS & Delivery Coordination
- Coordinate with airlines and CFS facilities on cargo availability, charges, and release
status
- Coordinate pickup appointments and trucking arrangements
- Monitor free time to help minimize unnecessary storage costs
- Obtain PODs and investigate delivery discrepancies as needed
Financial & File Management
- Review operational charges for accuracy before file closing
- Enter applicable airline, CFS, trucking, and agent charges
- Maintain complete shipment files per company record-retention requirements
- Close files promptly once requirements are met
What We're Looking For
- 3-4 years of direct air import freight forwarding experience (required)
- Strong working knowledge of international air freight import procedures
- Experience handling MAWB and HAWB documentation
- Familiarity with airline and CFS operations
- Working understanding of U.S. Customs clearance procedures
- Experience coordinating truckers and final delivery
- Ability to manage multiple shipments and priorities at once
- Strong written and verbal communication skills
- Strong attention to detail and documentation accuracy
- Proficiency with freight-forwarding systems, Microsoft Outlook, Excel, and related
business applications
