Ambulatory Practice Coordinator I

We're looking for detail-oriented Ambulatory Practice Coordinator I to join our Post Liver Transplant team at the University of Maryland Medical System. The ideal candidate is highly organized, comfortable with patient communication, and brings some experience in ambulatory or clinical setting.

Schedule: Monday – Friday | 8:00am – 4:30pm

Responsibilities
  • Coordinate patient care including scheduling appointments, outpatient tests, and procedures in accordance with physician schedules and UMMS policies
  • Register patients; verify demographics, insurance, referrals, and authorizations; document accurately in EMR
  • Prepare and coordinate outgoing referrals and after-visit summaries
  • Inform patients of appointments, schedule changes, co-pays, insurance details, and facility fee disclosures
  • Handle internal and external calls via multi-line phone system for scheduling, cancellations, and patient inquiries
  • Provide patients and families with information on hospital policies, programs, wayfinding, and parking
  • Perform routine clerical duties including filing, faxing, copying, and maintaining records
  • Assist with office supply tracking and ordering
  • Participate in mock, regulatory, and accreditation surveys
  • Multitask effectively in a fast-paced environment while maintaining professionalism and organization
Education & Experience
  • High School Diploma or GED required
  • Healthcare experience preferred but not required
  • EPIC experience preferred but not required
  • Bilingual (Spanish) preferred but not required
Knowledge, Skills & Abilities
  • Knowledge of insurance coverage including Medicaid, HMOs, and UMMS insurance partners
  • Strong verbal, written, and interpersonal communication skills
  • Effective listening skills with ability to translate patient information into accurate documentation
  • PC literate; able to enter and retrieve data in online registration systems
  • Customer service focused with ability to build courteous, effective relationships with patients, staff, and visitors
  • Resourceful problem-solver for phone and in-person scheduling inquiries
  • Able to work independently, manage multiple tasks, and perform well under stress
  • Knowledgeable in HIPAA compliance and patient privacy standards
  • Understanding of growth and development principles across the lifespan to serve diverse patient populations
Patient Safety

Ensures patient safety in the performance of job functions and through participation in hospital, department or unit patient safety initiatives.

  • Takes action to correct observed risks to patient safety.
  • Reports adverse events and near misses to appropriate management authority.
  • Identifies possible risks in processes, procedures, devices and communicates the same to those in charge.
