POSITION SUMMARY
(The official title is Operations Coordinator Administration)
Watkins is a relationship-driven agency where service, teamwork, and professionalism shape every interaction. We are hiring an Operations Coordinator Administration to support our agency operations and create a welcoming, positive experience for clients, visitors, and employees.
In this role, you are the first point of contact and a key part of how our agency runs day to day. You'll manage front desk responsibilities while supporting internal teams with administrative and insurance-related tasks.
This role is an excellent opportunity to learn agency operations and the insurance business from the ground up.
WHAT YOU'LL DO
- Create a strong first impression: Greet visitors, answer and direct calls, and ensure every interaction is professional, friendly, and efficient
- Keep operations moving: Manage incoming and outgoing mail, packages, and deliveries to support daily agency workflows
- Support internal teams: Provide administrative support across departments, including insurance-related tasks and special projects
- Coordinate office logistics: Reserve meeting spaces, order supplies, and support meeting setup to keep the office running smoothly
- Maintain an organized environment: Ensure the front desk and common areas are clean, secure, and well-maintained
- Communicate and route effectively: Gather key information to direct clients and inquiries to the right people quickly and accurately
- Contribute to agency efficiency: Identify ways to improve processes and proactively support overall operations
WHAT YOU BRING
Required
- High school diploma or equivalent
- Experience in an administrative, office support, or customer service role
- Strong professionalism, reliability, and discretion with confidential information
- Strong interpersonal skills
- Solid communication, organization, and follow-through
Preferred
- Proficiency with Microsoft Office applications
- Familiarity with phone systems and standard office equipment
- Experience using Applied EPIC
