Job Description and Duties
The Analyst I - Health Information Management Department will be directed by the Health Information Management Director (Supervisor I) in the Health Information Management Department (HIMD) at the Department of State Hospitals Atascadero (ASH). The incumbent will be responsible for the following duties but not limited to:
Subpoena Processing: Review, track, analyze and determine the appropriate legal response to subpoenas, court orders, and requests with authorizations that call for the release of protected health information (PHI).
Act as the liaison between HIMD, courts, and attorneys.
Retrieve and re-file patient records from all file room areas.
Prepare records by reviewing and selecting designated documents that need to be copied and redacted. Quality control records prior to releasing for inspection and copying. Photocopy or scan records as necessary.
Correspondence: Review, track, analyze and determine the appropriate response to requests for patient information including requests from Department of Justice, Board of Parole, Department of Social Security, Department of State Hospitals-Sacramento, former patients, family members and any other entity who needs to obtain copies of the medical record.
Scheduling Chart Review, release records, and schedule Patient Interview Appointments. Serve as a liaison between outside agents, i.e., psychologists, psychiatrists, attorneys, Secret Service, Conditional Release representatives, etc. to schedule appointments for chart review and patient interviews. Assure all appointments for record review and requests for records are authorized by court order, patient authorization or within legal procedures. Communicate with Hospital Police Officers in setting up patient interview appointments.
Communicate/coordinate delivery of medical records for evaluator review and assure their timely return. Photocopy records requested by the evaluators and attorneys.
Serves as a member on the Area Specific Safety Committee.
