  • Processes direct pay expenditures, food and entertainment forms, fiscal reporting, purchasing cards reports, reconciliations, record keeping, travel arrangements and reimbursements, program, ordering supplies, pre-approvals, etc...
  • Performs accounting and service delivery functions for conference management. Including but not limited to processing honorarium payments, travel applications, vendor set-up, ordering and purchasing food and/or supplies for conferences.
  • Processing of logistical workorders: including local facility contracts, institutional facilities and IT work orders. Processes of conference registration fee and vendor/exhibitor payments and/or setting up of ecommerce sites for conferences.
  • May also serve as on site conference support for in person registration.
  • Performs deposit functions for conference management. including registration and exhibitor fees into appropriate departmental accounts, etc.
  • Will create and maintain conference budgets or liaise with supporting department to obtain final conference budget. Invoicing and payment reconciliation for accreditation fees. Create and maintain fiscal accounting of CPE activities for annual accreditor report.
  • May coordinate the planning, development and implementation of continuing professional education educational activities to include but not limited to small scale conferences, 1- 3 hour live activities and small regularly scheduled series, according to the criteria and standards set by national accrediting bodies.
  • Cross trained on maintenance and updating of departmental inventory.
  • Corresponds with departmental constituents on program offerings, credit transcripts and CME Tracker profiles
  • Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
  • Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
  • Personally demonstrate, display and act in accordance with TTUHSC EP''s Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value''s leader while actively promoting and encouraging staff across the institution.
  • Perform all other duties as assigned.

  • Knowledge of all Microsoft Office software and able to learn and use institutional and other 3rd party software systems.
  • Two years related experience to the statement of duties and responsibilities; or equivalent combination of education and experience.
