The Passaic County Manchester Regional High School District is seeking an Anticipated Administrative Assistant to the Chief School Administrator for a 12 month position.

To serve as the primary confidential administrative support to the Chief School Administrator and to oversee day-to-day Human Resources functions for the district. This role requires exceptional organizational skills, absolute confidentiality, and a strong understanding of New Jersey school district operations and employment regulations.

Performance Responsibilities

Administrative Support to the CSA

  • Executive Calendar Management: Coordinate and maintain the CSA's schedule, appointments, and travel arrangements.
  • Board of Education Preparation: Assist in the preparation, organization, and dissemination of Board of Education meeting agendas, resolutions, and supporting documentation.
  • Communications Liaison: Serve as a primary point of contact for staff, board members, parents, community members, and external agencies (NJDOE, County Office).
  • Office Operations: Draft, proofread, and process confidential correspondence, reports, and state-mandated submissions.

Human Resources & Personnel Management

  • Certification & Compliance: Monitor and verify New Jersey instructional and administrative certifications via the NJEdCert system.
  • Onboarding & Offboarding: Manage the end-to-end hiring process, including posting vacancies (e.g., Frontline/AppliTrack), conducting reference checks, and coordinating new-hire orientations.
  • Background Checks: Oversee the Criminal History Review Program (CHRP) fingerprinting process and maintain strict compliance with Sexual Misconduct/Child Abuse Disclosure (P.L. 2018, c. 5 - "Pass the Trash") requirements.
  • Personnel File Maintenance: Maintain highly organized, secure, and confidential digital and physical personnel records, tracking leaves of absence (FMLA/NJFLA), tenure tracks, and evaluations.
  • Staff Attendance & Leave Tracking: Monitor staff attendance systems and coordinate substitute teacher coverage/procurement as needed.

Qualifications & Requirements

  • Education: Bachelor's degree preferred, or equivalent high-level administrative/HR experience.

  • Experience: Minimum of 35 years of executive-level administrative or HR experience, ideally within a New Jersey public school system.

  • Technical Proficiency: Strong expertise in school management software (e.g., Frontline/Aesop, AppliTrack, Genesis, NJEdCert) and Microsoft Office Suite / Google Workspace.

  • Key Skills:

  • Impeccable written and verbal communication skills.

  • Deep understanding of, or ability to rapidly learn, NJ Title 18A education laws and NJ State Board of Education administrative codes.

  • High degree of discretion and integrity in handling confidential personnel and student matters.

  • Required Clearances: * Successful completion of a criminal history background check (fingerprinting).

  • Proof of U.S. citizenship or legal resident alien status.

  • Compliance with the New Jersey First Act (residency requirements).

Salary

  • Competitive, commensurate with experience and qualifications.
