Anticipated Transportation/Food Service/Bookkeeping Secretary
Job Goal
To ensure the safe, efficient, and compliant daily transportation and food service operations for district students; to maintain accurate financial and accounting records; and to provide high-quality clerical support for the board office. This dynamic position requires a highly organized professional who can balance logistical operations, financial record-keeping, and customer service.
Performance Responsibilities
- Transportation & Food Service Coordination
- Route Management: Plan, organize, and coordinate daily bus routes and schedules for district students, including specialized routing for special education and out-of-district placements.
- Free & Reduced Meal Programs: Coordinate the annual application process for the National School Lunch Program (NSLP), determine eligibility according to federal guidelines, and manage parent notifications.
- Compliance & Safety: Ensure total compliance with NJDOE transportation regulations and New Jersey Department of Agriculture school nutrition guidelines.
- Bookkeeping & Financial Support
- POS & Account Management: Monitor school lunch payment accounts (e.g., PaySchools), manage student balances, and oversee the collections process for delinquent accounts.
- Budget Tracking & Reconciliations: Assist the Business Administrator in maintaining accurate ledger entries, tracking departmental expenditures, and reconciling student activity/cafeteria accounts.
- Secretarial & Office Operations
- Central Office Operations: Greet visitors, answer phone calls, route inquiries, and maintain a welcoming, organized, and secure board office environment.
- Correspondence & Records: Prepare letters, memos, forms, and reports. Maintain organized filing systems for general office operations, student records, transportation logs, and NSLP audit trails.
- Data Entry: Utilize school management software (e.g., Genesis, Frontline) to update student data and transportation tracking.
Qualifications & Requirements
Education: High School Diploma required; Associate's or Bachelor's degree in Business Administration, Accounting, or a related field preferred.
Experience: Minimum of 23 years of experience in school transportation, food service administration, or bookkeeping, ideally within a NJ public school district.
Technical Proficiency: * Experience with school financial/accounting software (e.g., Genesis, Realtime).
Familiarity with student information systems (e.g., Genesis) and lunch program software.
Proficient in Microsoft Excel and Google Workspace.
Key Skills:
Strong mathematical aptitude and attention to financial detail.
Ability to handle sensitive financial information (Free/Reduced lunch status) with absolute confidentiality.
Excellent crisis-management and problem-solving skills.
Required Clearances:
Successful completion of a Criminal History Review Program (CHRP) background check.
Compliance with the New Jersey First Act (residency requirements).
Salary
- Competitive, commensurate with experience and qualifications.
- $55,000 - $65,000
