Job Description:

Our client is seeking a detail-oriented and organized Accounts Payable / Office Administrator to support daily accounting functions while ensuring the efficient operation of the office. This role is ideal for someone who enjoys balancing financial responsibilities with administrative support in a fast-paced environment.

-Process accounts payable invoices accurately and in a timely manner.
-Match purchase orders, invoices, and receiving documents while resolving discrepancies.
-Prepare weekly check runs, ACH payments, and maintain vendor payment records.
-Reconcile vendor statements and respond to vendor inquiries.
-Assist with month-end closing activities, expense reporting, and account reconciliations.
-Maintain accurate financial and administrative records, both electronically and in paper files.
-Answer phones, greet visitors, and provide general administrative support to the office.
-Order and maintain office supplies and coordinate office vendors as needed.
-Schedule meetings, assist with correspondence, and support internal departments with administrative tasks.
-Ensure confidentiality of financial and employee information while maintaining organized documentation.
-Assist with additional bookkeeping, payroll support, or office projects as assigned.



Requirements:
-High school diploma or equivalent required; Associate's degree in Accounting, Business Administration, or a related field preferred.
-2+ years of experience in accounts payable, bookkeeping, or office administration.
-Proficiency with Microsoft Office Suite, particularly Excel and Outlook.
-Experience using accounting or ERP software such as QuickBooks, Sage, Microsoft Dynamics, or similar systems is preferred.
-Strong organizational skills with exceptional attention to detail and accuracy.
-Excellent verbal and written communication skills.
-Ability to prioritize multiple tasks, meet deadlines, and work independently.
-Professional demeanor with strong customer service and interpersonal skills.
-Experience supporting small to mid-sized office environments.
-Knowledge of basic accounting principles and financial recordkeeping.
-Ability to identify and resolve invoice discrepancies efficiently.
