Maintenance Coordinator –The Connection That Keeps Our Community Running
Work Schedule: M-F 8am to 5pm
About the Role
As our Maintenance Coordinator, you’ll be the vital link between residents and the maintenance team - handling service requests, leading resident communications, and scheduling work orders, so every repair is completed promptly and with attention to detail.
Your Impact
- Receive and triage maintenance requests from residents via phone, email, or online portal.
- Communicate clearly with residents about service timelines and follow up to ensure satisfaction.
- Prepare and maintain work orders, invoices, and maintenance records with accuracy.
- Assist management with maintenance goals, make-ready schedules, and occupancy/retention targets.
- Provide weekly and monthly maintenance reports to the Property Manager as needed.
- Track maintenance expenses, process invoices, assist with budget monitoring, and maintenance bookkeeping to support accurate financial reporting.
- Lead and coordinate end-to-end apartment turn process, from move-out to move-in ready, ensuring units are completed within budget and deadlines.
- Conduct move-out and pre-move-in inspections, documenting unit condition and creating detailed scopes for each turn.
- Develop and manage turn schedules, sequencing vendor and in-house projects to minimize vacancy loss.
- Source, coordinate and oversee third-party vendors and contractors for turn work, ensuring quality, timeliness, and adherence to scope.
- Conduct quality control and walk completed units prior to marketing/move-in.
- Maintain documentation and records.
- Communicate turn progress and timelines regularly to the Property Manager, Service Director and Leasing Manager.
What We’re Looking For
- Minimum 2 years of maintenance technician or related experience.
- Exceptional customer service skills.
- Customer-first mindset with strong organizational and administrative skills.
- Ability to understand maintenance processes and metrics.
- Proficiency in property management systems, spreadsheets, and reporting tools.
- Calm, professional problem-solver who thrives in a fast-moving environment.
- Must be familiar with Entrata or other property management software (i.e. Yardi, OneSite).
- Must be familiar with MS Office.
- HVAC or EPA certification preferred.
