Position: Appointment Scheduler / Backup Transportation Driver (CNA)

The primary responsibility of the Appointment Scheduler / Backup Transportation Driver is to coordinate and schedule residents' medical appointments, specialty visits, therapies, and transportation needs while maintaining accurate records and communication with healthcare providers, residents, families, and the interdisciplinary team. This position also serves as the backup Transportation Driver when the primary driver is unavailable, ensuring residents are transported safely to and from appointments. An active Certified Nursing Assistant (CNA) certification is required to meet regulatory and resident care standards; however, this position is not expected to provide routine CNA floor assignments or direct resident care.

Schedule: Monday–Friday, typically 8:00 AM – 4:30 PM. Flexibility is required based on resident appointment schedules.

Job Responsibilities

  • Schedule, confirm, and coordinate resident medical appointments, specialty visits, therapies, diagnostic testing, and other healthcare services.
  • Maintain the daily and weekly appointment calendar and coordinate transportation logistics.
  • Communicate appointment details with residents, families, nursing staff, and healthcare providers.
  • Prepare and organize all necessary paperwork, referrals, insurance information, and documentation required for appointments.
  • Ensure transportation schedules are accurate and updated promptly.
  • Serve as the backup Transportation Driver when the primary driver is unavailable.
  • Safely transport residents to and from medical appointments and other approved destinations when assigned.
  • Assist residents with entering and exiting the vehicle using appropriate mobility equipment, including wheelchair lifts when necessary.
  • Accompany residents to appointments as needed and communicate provider recommendations or follow-up instructions to the nursing team.
  • Maintain accurate transportation and appointment records.
  • Report scheduling issues, transportation concerns, or resident-related matters promptly to the appropriate department.
  • Maintain resident confidentiality and uphold resident rights at all times.
  • Perform other related administrative or transportation duties as assigned.

Qualifications

  • Current Certified Nursing Assistant (CNA) certification required.
  • CNA certification is required; however, this role is not assigned routine CNA floor duties.
  • Valid Pennsylvania driver's license required.
  • Clean driving record with fewer than 15 points on the Motor Vehicle Report (MVR).
  • Previous experience scheduling medical appointments or coordinating transportation is preferred.
  • Excellent organizational, time management, and communication skills.
  • Ability to multitask and prioritize in a fast-paced healthcare environment.
  • Ability to work professionally with residents, families, healthcare providers, and staff.
  • Ability to safely assist residents during transportation, including the use of wheelchair lifts and mobility equipment.
  • Ability to accurately receive, understand, and communicate medical appointment information and follow-up instructions.
  • Proficiency with computers, scheduling systems, and electronic documentation preferred.
