    Purpose:

    The AR Manager provides leadership and oversight for Accounts Receivable operations across the organization. This role leads a team of AR Specialists and Revenue Cycle staff, ensuring accurate billing, timely collections, account reconciliation, and effective management of outstanding receivables. The AR Manager partners with community leadership, Operations, Finance, and Revenue Cycle teams to improve cash collections, reduce aging, and support overall financial performance. Experience with Medicaid billing and reimbursement is beneficial but not required.

    Essential Job Functions:

    Leadership & Team Management

    ·    Lead, coach, and develop a team of AR Specialists and Revenue Cycle professionals.

    ·    Establish performance expectations and monitor productivity, quality, and service levels.

    ·    Manage workload distribution and provide escalation support for complex account issues.

    ·    Develop and deliver onboarding, training, and ongoing education programs.

    ·    Foster a culture of accountability, customer service, collaboration, and continuous improvement.

    Accounts Receivable Operations

    ·    Oversee the full accounts receivable lifecycle, including billing, collections, cash application, account reconciliation, credit balances, and bad debt management.

    ·    Ensure timely and accurate billing and resolution of account discrepancies.

    ·    Monitor and manage AR aging to reduce outstanding balances and improve cash collections.

    ·    Oversee resident account cleanup efforts, including the correction of historical billing issues, unapplied payments, resident ledger discrepancies, and account reconciliations.

    ·    Provide oversight of cash posting activities to ensure accurate and timely application of payments and remittances.

    ·    Manage deposit reconciliation processes, including identification and resolution of unmatched deposits, missing remittance information, and posting variances.

    ·    Support community onboarding, acquisitions, ownership transitions, and operational transitions by coordinating account reviews, balance transfers, and financial reconciliations.

    ·    Identify and resolve barriers to collections while partnering with community teams and residents’ responsible parties as appropriate.

    ·    Establish and standardize AR processes, controls, and best practices across the portfolio.

    ·    Lead month-end AR review processes, including aging analysis, unresolved balance identification, reserve recommendations, and revenue-impact assessments.

    ·    Support month-end close activities, reconciliation processes, and revenue analysis.

    Collections & Performance Management

    ·    Monitor collection performance and aging trends, identifying opportunities for improvement.

    ·    Develop action plans to address delinquent accounts and collection challenges.

    ·    Track key performance indicators, including aging, cash collections, billing accuracy, write-offs, and bad debt.

    ·    Ensure timely follow-up on unresolved accounts and escalated collection concerns.

    ·    Partner with leadership to develop strategies that improve AR outcomes and reduce financial risk.

    Compliance, Audits & Reporting

    ·    Ensure compliance with company policies, billing practices, and applicable regulatory requirements.

    ·    Support audits, account reviews, and documentation requests.

    ·    Analyze AR trends and identify opportunities to improve processes and controls.

    ·    Prepare and present operational reports, performance metrics, and recommendations to leadership.

    ·    Support special revenue cycle projects and process improvement initiatives.

    Collaboration

    ·    Partner with Executive Directors, Business Office Managers, Operations, Clinical, and Finance teams to resolve billing and collection issues.

    ·    Serve as the primary escalation point for complex resident account issues, historical balance corrections, community transitions, and collection concerns.

    ·    Collaborate with Revenue Cycle leadership on portfolio performance initiatives, AR recovery efforts, and process improvement projects.

    ·    Support acquisitions, transitions, system implementations, and special projects as assigned.

    ·    Partner with the Medicaid Manager and Medicaid team on reimbursement, authorization, eligibility, and billing issues impacting accounts receivable.

    ·    Provide guidance related to Medicaid billing and reimbursement processes when applicable.

    Minimum Eligibility Requirements

    ·    Bachelor’s degree in Business Administration, Accounting, Finance, Healthcare Administration, or a related field preferred.

    ·    Associate degree plus significant accounts receivable, collections, or revenue cycle experience, or an equivalent combination of education, training, and relevant work experience, will be considered.

    ·    Minimum of five years of accounts receivable, collections, billing, revenue cycle, or healthcare finance experience.

    ·    Minimum of two years of leadership, supervisory, or team lead experience.

    ·    Experience managing aging, collection strategies, account reconciliation, cash application, deposit reconciliation, and billing operations.

    ·    Healthcare, senior living, long-term care, or multi-site operational experience strongly preferred.

    ·    Experience supporting acquisitions, community transitions, account cleanup initiatives, or revenue cycle implementations preferred.

    ·    Knowledge of Medicaid reimbursement and billing practices preferred but not required.

    ·    Strong analytical, organizational, and problem-solving skills.

    ·    Proficiency in Microsoft Office, particularly Excel.

    ·    Excellent communication and leadership skills with the ability to drive results and process improvement.
