Position Description

Advertised Job Summary

This position supports the effective delivery of maintenance services by assisting Area Maintenance Supervisors with the planning, prioritization, scheduling, coordination of preventive, and corrective maintenance across assigned campus maintenance shops. This position helps ensure maintenance work is properly scoped, resourced and materials are identified in advance, schedules are coordinated with campus partners, and work is completed safely, efficiently, expeditiously, and with minimal disruption to teaching, research, and daily campus activities.

The Area Coordinator serves as a key point of coordination among supervisors, skilled trades, area maintenance teams, Facilities leadership, customers, contractors and campus stakeholders. Through effective use of the CMMS (AIM), this role supports work order flow, backlog management, preventive maintenance compliance, outage coordination, service delive1y, and continuous improvement.

Job Related Minimum Required Education and Experience

  • Requires a bachelor's degree in a job related field and 4 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials

Driver's license.

Job Duty

Planning & Scheduling

Develops, maintains, and communicates weekly and daily maintenance schedules for assigned area maintenance teams, balancing preventive maintenance, corrective work, priority needs, and academic constraints. Plans maintenance work in advance to improve schedule efficiency, reduce delays, limit repeat visits, and minimize disruption to classrooms, laboratories, and offices. Coordinates access, outage schedules, utility interruptions, and customer notifications before scheduled work begins. Identifies opportunities to group work geographically, by priority, trade, or by system to improve workforce productivity and reduce travel time across campus. Monitors deferred work, recurring issues, and backlog trends, and schedules work priorities based on operational impact, available resources, and institutional needs. Supports preventive maintenance planning by ensuring PM tasks are scheduled at appropriate intervals and aligned with seasonal needs, building occupancy, and equipment criticality. Develops and maintains preventive maintenance material and parts lists to support appropriate inventory levels, ensure required parts are available when needed, and promote effective and timely completion of scheduled PM work. Adjust assignments as needed in response to emergencies, staffing changes, material delays, campus events, or shifting

operational priorities.

Work Order Management

Uses the CMMS to review, plan, schedule, and track work orders from initiation through completion. Identifies delays, missing information, duplicate requests, and items requiring supervisor or customer follow-up to support timely and accurate work order management. Reviews CM MS reports related to work order volume, backlog, preventive maintenance compliance, labor utilization, response times, completion rates, and recurring maintenance issues. Assist supervisors and techs with proper use of the CMMS, including work order updates, notes, labor entries, materials usage, and closing notes. Recommend improvements to CMMS workflows, phase descriptions, preventive maintenance templates, asset records, and scheduling practices in accordance with departmental standards.

Coordination with Campus Customers

Serve as a coordination point between maintenance teams, facilities leadership, campus departments, building occupants, and other stakeholders. Communicate preventive

maintenance, corrective work schedules, impacts, access needs, and expected completion timelines to affected campus customers Participate in planning meetings, scheduling meetings, shutdown coordination meetings, and after-action reviews to improve work execution and communication.

Identifies safety considerations during work planning, including lockout/tagout, confined space, hot work, fall protection, electrical hazards, hazardous materials, indoor air quality concerns, and occupant impacts. Ensures work orders and schedules reflect required safety precautions, permits, access controls, notifications, and coordination requirements. Supports compliance with applicable University policies, environmental health and safety requirements, OSHA standards, building codes, fire/life safety requirements, and other regulatory obligations. Prioritizes and escalates work involving life safety, regulatory compliance, accessibility, security, utilities, environmental conditions, or critical equipment failures. Promotes a culture of safety, accountability, and reliability.

Professional Expertise

Provide professional expertise and guidance to Facilities leadership in suppo11 of

maintenance operations, service delivery, resource planning, and continuous

improvement. Represent the department in communications with University

administration, campus departments, committees, work groups, and other internal or external stakeholders. Serve as an advisor to committees and groups on maintenance related matters, operational needs, service impacts, standards, and recommended

practices. Review, develop, and apply industry standards for maintenance products, equipment, materials, procedures, and work performance. Research best practices,

conduct benchmarking analysis, and recommend improvements to enhance operational

effectiveness, ser ice quality, and resource utilization. Attend meetings, conferences, professional development programs, and training events to remain informed of industry

trends, regulatory requirements, emerging technologies, and service delivery models.

Contractor Support

Supports and oversees subcontracted maintenance work, including mechanical, electrical, plumbing, and other repair services performed across campus. Coordinates quoting and bidding processes, supports procurement activities, schedules installations and repairs, monitors work progress, verifies completion, and ensures work is completed in accordance with University standards, scope requirements, safety expectations, and quality control standards

Performs administrative tasks in support of departmental operations, staffing, employee relations, and service delivery. Assists the department with hiring processes, position management, and related personnel activities. Supports employee relations activities by gathering information, documenting concerns, and assisting with the consistent application of University policies and procedures. Counsel and guides employees, as appropriate, regarding departmental expectations, work procedures, and applicable University policies. Attend meetings, training sessions to build knowledge of continuous improvement principles and best operational practices. Applies continuous improvement concepts such as process mapping, workflow review, measurement objectives, benchmarking, and best-practice research. Assists with identifying process gaps, recommending improvements, and supporting implementation of changes that improve efficiency, accountability, and service quality

Facilitates Bluebeam review sessions with affected Facilities maintenance shops to ensure maintenance needs, access requirements, serviceability concerns, and operational impacts are identified, documented and communicated
