Job Responsibilities:
Front of House (Reception / Hospitality / Conference Support):
  • Answer calls within three rings and handle queries efficiently while following phone script and maintaining a professional tone.
  • Greet all visitors and colleagues entering the reception area and provide excellent customer service.
  • Manage emails and provide administrative support while maintaining confidentiality and integrity.

Visitor Processing:
  • Register visitors using the building security portal and ensure sign-in on the visitor log.
  • Notify employees/meeting organizers when visitors arrive and direct them to conference rooms.
  • Assign visitor/guest security cards, maintain inventory, and report missing cards.

Conference / Meeting Support:
  • Support conference rooms and team rooms for meetings ranging from 4 to 100+ attendees.
  • Provide basic AV (minor support) and assist with meeting setup.

Catering Support:
  • Place catering orders as requested by meeting hosts and administrative assistants.
  • Process and code catering invoices.

Back of House / Office Support:
  • Provide copy, print, scanning, and fax support.
  • Act as first responder for copier/printer issues.
  • Handle mail and packages (receive, sort, deliver, outbound processing).

Requirements:
  • Strong customer service background with front desk / reception / hospitality experience.
  • Excellent communication skills (written and verbal) with professional presence.
  • Friendly, reliable, courteous, and “can-do”attitude with ability to learn quickly.
  • Proficiency in Office 365 and ability to work across multiple applications.
  • Ability to drive up to 50 miles using personal vehicle.
  • Ability to lift 15–30 lbs for mail, packages, and catering support.
