Area Customer Service Coordinator New York, NY 10121 (Onsite) 2 Months (temp to hire) Shift hours may vary depending on location: 7am 4pm, 8am 5pm, 9am 6pm. Overtime may be required. Work week Mon Fri. Candidates must be available for work between 7am and 7pmand ready to adjust on a short notice. Driving is required to commute to Long Island site which is not accessible by public transportation; all other sites are in NYC (Midtown and Downtown) and accessible by subway THIS IS A MULTI-SITE ROLE. The contingent worker selected MUST HAVE A CAR to commute to Melville, NY (Long Island), and live close to public transportation (subway) to commute to New York City sites. Preferred residence areas - Queens and Bronx. Employees in this position normally spend 90% of their time in NYC, where all sites are accessible by public transportation, and 10% in Melville, NY (Long Island). That site is not accessible by public transportation. Hiring manager is looking for someone with the following qualities: Reliable Friendly and outgoing Willing to learn Customer Service Skills Interpersonal Skills Attention to Detail Patience and Professionalism Print production, Mailroom, Reception/Hospitality experience preferred Law Firm experience preferred Microsoft 365 proficiency and general computer experience required Daily responsibilities: This is a customer-facing role. Employees in this position will provide coverage and support at multiple sites in NYC and 2-3 sites around Melville NY. Duties include reception, mailroom, print production, hospitality, and other office services. Mailroom operations Print production (printing, assembling, binding) Key-op (replenishing toner and paper in printers, clearing jams) Greeting and assisting visitors and answering and forwarding calls Scheduling conference rooms through Outlook or other applications Communicating with customers via Outlook, Microsoft TEAMS, and in-person Assisting with stocking kitchen supplies, maintaining cleanliness and organization of kitchen and other office areas Conference room set up/take down Other duties, as assigned Employees may be re-assigned to another site in the morning or in the middle of the day. Mileage expense guidelines: Contingent Workers will be allowed to expense some of the commute mileage for traveling to Long Island site. -Threshold: Only reimbursed if commute exceeds 15 miles each way (to and from work site) Example: 5 miles will be reimbursed for 20-mile commute each way, totaling 10 miles. At the current reimbursement rate of $0.725 per mile total reimbursement for the day will be $7.25. -Reimbursement Cap: Up to 30 miles beyond the initial 15 miles. Example: 30 miles will be reimbursed for 50-mile commute -Weather and traffic delays are not reimbursed; reimbursement is based on shortest commute under normal traffic conditions. Permanent Employment: This is a temp to hire position. If hired, the candidate will receive an additional stipend of $225 per month. Responsibilities: JOB DUTIES AND RESPONSIBILITIES An integral member of the service team supporting the daily operations for all contracted services at customer accounts within a geographical area. Provides coverage for absences or vacations of the onsite resources, that may also include site management. May be required to report to an alternate site on any given day which could result in walking, driving, or using public transportation to that alternate site and a longer commute time that exceeds scheduled shift. Assists management with process improvement, procedural testing and validation and ensuring field compliance with operational best practices. Support the Field Implementation Managers with the implementation of new customer accounts and service expansions. Assists with onboarding new team members and cross training peers. Assists with the development of Site Procedure Guides and sharing best practices throughout geographical area. Routinely inspects Site Procedures Guide at various locations for accuracy and compliance. Performs daily visual inspection of site services and Ricoh and customer compliance to safety. Creates and maintains a customer-focused environment. Responsible for escalating customer issues to Ricoh Management and supporting the resolution to completion. Communicates effectively and responds quickly to customers and end user communication When applicable, must maintain and accurately submit monthly expenses in a timely manner following proper coding requirements. Performs other duties as assigned. WORKING CONDITIONS, MENTAL AND PHYSICAL DEMANDS Typically, an office or warehouse environment with adequate lighting and ventilation, and a normal range of temperature and noise level. Work assignments are diversified. It is required to interpret, comprehend, and apply complex material, data and instruction; prepare, provide and convey diversified information. Some physical effort is required which may involve long periods of standing, walking, bending, reaching, stretching, climbing or similar activities as well as lifting or moving items weighing up to 50 lbs. and in pushing or pulling machines on wheels, which may weigh up to 400 lbs., in order to move for repairs. Walking between campus buildings may be necessary. Moderate dexterity - regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination). Specific vision abilities required by this job include close vision. While most assignment hours are 8-5 Monday through Friday, schedule flexibility is required.
