The Asset Control Manager is a critical operational role within Charter Ones Information Technology Department serving both the Education Management Organization EMO and all affiliated schools. This position is responsible for overseeing the full lifecycle of IT assets - from procurement planning and purchasing through deployment tracking maintenance scheduling and final disposition. The ideal candidate is a highly organized process-driven professional with a meticulous eye for detail an exceptional commitment to accuracy and the ability to develop document and continuously improve structured workflows. Responsibilities include but are not limited toIT Procurement & PurchasingManage the end-to-end purchasing process for all IT equipment across the EMO and school network including computers peripherals networking equipment audiovisual technology and accessories.Collaborate with IT Directors and department heads to assess technology needs and consolidate purchase requests.Source and evaluate vendors obtain competitive quotes and make purchasing recommendations that balance cost-effectiveness with quality.Coordinate with the Finance Department to process purchase orders manage budget allocations and ensure compliance with procurement policies.Track the status of all open orders from placement through delivery proactively resolving delays or discrepancies.Maintain complete organized records of all procurement transactions including invoices warranties and vendor contracts.IT Asset Management & Inventory ControlMaintain a comprehensive accurate and up-to-date IT asset inventory database for all equipment across every school and the EMO central office.Lead regular physical audits of IT assets at all sites to reconcile inventory records with actual equipment on-hand.Coordinate equipment deployment redistribution and retrieval between school sites to maximize utilization and minimize waste.Track and manage device warranty status service contracts and end-of-life timelines to ensure timely renewals and replacements.Manage the secure and compliant disposition of decommissioned IT assets including data destruction and environmentally responsible recycling or surplus processes.Process Development & DocumentationDesign document and maintain standardized procedures for all asset management and procurement processes ensuring consistency and repeatability across all sites.Develop and enforce intake check-out and return protocols for IT equipment issued to staff and students.Establish and manage ticketing or tracking workflows for equipment repairs replacements and warranty claims.Identify process gaps and inefficiencies proactively proposing improvements to enhance accuracy accountability and operational speed.Create and maintain internal training materials and reference guides for school-level staff and IT technicians involved in asset handling.Reporting & Cross-functional CollaborationGenerate regular reports on asset inventory procurement spend equipment utilization and refresh projections for IT leadership and school administration.Partner closely with the IT support team to align procurement timing with deployment schedules and technology refresh cycles.Serve as the primary IT contact for school operations staff regarding equipment requests loaner devices and asset-related questions.Support annual budgeting processes by providing accurate data on existing asset conditions and projected replacement needs.
