Position: Asset System Configuration Coordinator

Job Type: Temporary; Exempt

Shift Details: 8:00AM - 5:00PM - Monday-Friday

Work Location: Onsite- Peoria, Arizona

Salary/Hourly Wage: $70,000.00 - $75,000.00/year

Summary of Job: The Asset System Configuration Coordinator is responsible for the end-to-end lifecycle of company hardware and related IT assets-from procurement and configuration to deployment, recovery, and decommissioning. This role ensures that new hires receive a fully operational setup on day one and that equipment from departures is securely received, wiped, and redeployed according to policy. The ideal candidate is highly organized, detail-oriented, and experienced with asset management systems, imaging/configuration tools, and IT inventory processes.

Essential Duties and Responsibilities:

  • Asset Lifecycle Management:

  • Maintain accurate records of all IT assets (laptops, desktops, mobile devices, peripherals, network equipment) in the asset management system.

  • Coordinate procurement, tagging, assignment, and return of equipment; update asset statuses (in-stock, deployed, RMA, retired).

  • Oversee decommissioning, including industry-recognized secure data destruction standards, compliance documentation, and environmentally responsible disposal.

  • New Hire Preparation & Onboarding Support:

  • Build, image, and configure devices for new hires (OS, security agents, VPN, productivity suites, collaboration tools).

  • Provision user accounts and access per role-based requirements (in partnership with IT Ops/Identity).

  • Assemble and ship welcome kits as needed (devices, accessories, instructions), ensuring on-time delivery for Day 1.

  • Termination & Offboarding Equipment Recovery

  • Coordinate equipment retrieval for exits (return labels, scheduling, tracking).

  • Verify returned assets, conduct intake inspections, and log condition; perform secure data wipe and reimage for redeployment.

  • Document chain-of-custody and ensure compliance with data protection policies.

  • Systems, Tools & Process Ownership

  • Administer asset management platforms (e.g., ServiceNow/Snipe-IT/JAMF/Intune/MDM) and enforce data integrity.

  • Standardize gold images and configuration baselines; maintain deployment scripts and automation where applicable.

  • Create and maintain SOPs, checklists, and knowledge articles for onboarding/offboarding and asset handling.

  • Compliance, Risk & Quality Control

  • Ensure adherence to security, privacy, and audit requirements (e.g., encryption, patching, inventory accuracy, disposal logs).

  • Conduct periodic audits and cycle counts; reconcile discrepancies and report metrics.

  • Partner with Finance, HR, and Security on asset accountability, budgeting, and policy alignment.

  • Stakeholder Support & Continuous Improvement

  • Serve as the primary contact for asset-related requests and escalations.

  • Monitor SLA performance for device readiness and returns; identify process improvements and drive implementation.

  • Train IT technicians and cross-functional partners on asset procedures and tools.

  • Education/Licenses:

  • High school diploma or equivalent

  • Experience:

  • 3-5 years of experience in IT asset management, desktop support, or IT operations.

  • Hands-on experience with imaging/configuration tools and MDM platforms (e.g., Workforce ONE, Microsoft Intune, Azure AD/ Entra ID).

  • Proficiency with asset management systems and inventory control practices.

  • Strong organizational skills with meticulous attention to detail and data accuracy.

  • Ability to manage multiple concurrent requests with clear prioritization and communication.

  • Experience supporting multi-site healthcare or behavioral health operations are preferred.

  • Skills:

  • Strong organizational skills with meticulous attention to detail and data accuracy.

  • Experience implementing asset lifecycle processes at scale (multi-site and remote workforce) preferred.

  • Experience integrating scripts with MDM workflows (e.g., Intune, Workspace ONE, Jamf) for scalable device provisioning preferred.

  • Knowledge of security best practices (encryption, secure wipe standards, chain-of-custody) preferred.

  • Exposure to audit/compliance frameworks or SOX-like controls preferred.

  • Strong customer service background

  • Demonstrated ability to manage vendors and make cost-conscious purchasing decisions.

  • Must have excellent written and verbal communication, with particular emphasis during telephone calls, follow-ups, and in-person correspondence.

  • Must have the ability to walk, climb, stoop, reach, crawl, crouch, kneel, push, pull and lift a minimum of 65lbs.

  • Success in the First 90 Days Looks Like:

  • 100% of new hires will receive fully configured devices by Day 1

  • Asset inventory accuracy exceeds 98%

  • Standardized onboarding/offboarding SOPs are documented and adopted

Driving Requirements:

  • If driving is required for this position, must meet all requirements outlined in Recovery Innovations' driving policy.
  • If not qualified to drive per driving policy, a Non-Driver Attestation form must be signed.

Miscellaneous Requirement(s):

  • Ability to travel between facilities across multiple states as required.
  • Must be 18 years of older with a valid driver's license.
  • Ability to maintain a high level of confidentiality (HIPAA guidelines and regulations) and professionalism.
