Assistant Client Experience Manager

Cape Cod Veterinary Specialists is seeking an experienced Assistant Client Experience Manager to join our client care leadership team. This full-time role supports our Client Care Team across both our Buzzards Bay and Dennis locations and plays an important part in creating a professional, compassionate, and organized experience for clients, referring veterinarians, patients, and team members.

 About This Role

  • As the Assistant Client Experience Manager, you will help oversee the daily operations of the Client Care Team in a busy specialty and emergency hospital environment. This role combines hands-on client service responsibilities with team support, scheduling, training, administrative duties, and performance management.
  • You will work closely with client care associates to ensure consistent coverage, smooth communication, and a high standard of service throughout the hospital. The ideal candidate is organized, approachable, flexible, and comfortable leading in a fast-paced setting where priorities can shift quickly.
  • CCVS supports patients and families through a wide range of experiences, from urgent and life-saving care to long-term treatment plans. This role requires professionalism, compassion, strong communication skills, and the ability to remain steady and supportive during both routine and challenging situations.

Qualifications

  • Management or leadership experience required 
  • Veterinary experience strongly preferred 
  • High school diploma or equivalent required 
  • Strong communication, organization, and problem-solving skills
  • Ability to support a team in a fast-paced, client-facing environment
  • Flexibility to assist with shift coverage as needed
  • Ability to work at both the Buzzards Bay and Dennis locations

Responsibilities

  • Support the daily operations of the Client Care Team
  • Assist with routine client care duties, including checking patients in and out, taking payments, issuing refunds, answering phones, and directing calls appropriately
  • Help ensure medical records are complete and accurate
  • Create and maintain schedules to support appropriate team coverage
  • Review and approve PTO requests
  • Train team members on client care duties, workflows, and expectations
  • Conduct performance reviews for assigned direct reports
  • Reconcile daily transactions and bank deposits
  • Promote and follow hospital policies, procedures, and protocols
  • Complete Accounts Receivable tasks as part of the broader A/R team
  • Monitor and respond to social media activity as appropriate
  • Promote professional, respectful, and compassionate communication with clients, coworkers, and referring veterinarians

Salary, Schedule, and Benefits

  • Pay Range: $26–$29 per hour
    • Most new hires can expect an offer based on related experience, expertise, and alignment with comparable positions within the hospital, typically between the minimum and midpoint of the range.
  • The schedule includes days, evenings, weekends, and a holiday rotation at both the Buzzards Bay and Dennis locations. The initial training schedule may differ.
