Position: Assistant Coordinator for Extended Learning Program / Morning Site Facilitator

Hours: Monday-Friday, 7:00 a.m. - 1:30 p.m.

The position works 200 days per year, scheduled to be determined with the supervisor.

Organizational Scope: Reports to the Coordinator for Extended Learning Program

Position Summary

Reporting to the Coordinator of Extended Learning Program, the Assistant Program Coordinator is responsible for overseeing the morning extended learning programs and providing administrative and operational support for the Extended Day Program. The Assistant Coordinator will be customer service-facing and must be highly organized, detail-oriented, and able to communicate effectively both in writing and verbally with a range of constituents.

Responsibilities

  • Oversees and is responsible for the Extended Learning Morning Program under the supervision of the Coordinator; assists and provides daily on-site support to site coordinators and aides.
  • Assists the Coordinator with overall operations, including the creation and monitoring of schedule change forms and other related program needs.
  • Responsible for registration enrollment under the direction of the Coordinator; assists with the preparation, organization, and maintenance of enrollment registration processes and program records.
  • Submits billing statements to families, manages payments/overdue accounts, and audits data for accuracy using district-supported software.
  • Assists with correspondence to family participants enrolled in the program and supports two-way communication with Coordinator and site coordinators.
  • Complete requisition and purchase orders under the direction of the Coordinator, utilizing district systems and software.
  • Creates documents, processes, and systems as applicable, utilizing Google Suite and district systems to support the program.
  • Assists Coordinator with ordering and maintenance of building-based inventory and supplies for the program.
  • Maintains confidential information.
  • Other duties as assigned by the Extended Learning Coordinator and/or Assistant Superintendent of Teaching and Learning.

Job Qualifications & Physical Demands:

  • A Bachelor's degree with a minimum of three years of experience, working in a fast-paced office environment, excellent customer service, and experience with school-aged students and their families, is preferred. Other related work experience may be considered.
  • A driver's license required with the ability to commute to multiple locations for morning oversight.
  • Ability to communicate effectively both verbally and in writing; be cooperative, proactive and able to provide outstanding customer service.
  • Ability to multi-task, manage day-to-day events working in a team environment to meet the needs of the department.
  • Experience with database management and ability to use appropriate systems, software and Google suite.
  • Establish rapport with children and adults.
