Job Details

The Assistant Director is the lead manager of administrative and business services operations for the Abington office of the Office
of Institutional Advancement. The Assistant Director oversees day-to-day budget management and processes for the office;
coordinates details of planned giving activities; manages operations for Abington business and advisory councils; provides highlevel
administrative support to the Senior Vice President (SVP); and oversees elements of donor recognition and
cultivation/stewardship events specific to the Abington office. The Assistant Director works closely with the SVP and the
Administrative Assistant to facilitate all essential business functions in support of Abington fundraising efforts.

Job Description

  • Lead on all key areas of administrative operations and business services for the Abington office in support of Abington
  • fundraising efforts and the Reimagine Campaign.
  • Provides high-level administrative support to the SVP and serves as lead for day-to-day office management for the
    Abington team.
  • Manages budget operations in close coordination with Accounting and OIA Center City office including fund management and approval, requests for payment, purchase orders for all Abington office vendors, and monthly and
    annual reporting and audits in coordination with OIA Gift Administration and Finance.
  • Serves as Abington’s administrative liaison to the OIA Planned Giving office. Coordinates details of charitable gift annuity agreements and works with external financial vendors to prepare gifts of stock for processing.
  • In collaboration with the SVP, AVP, and Senior Director, supports operations and member engagement for Abington business and advisory councils including coordinating regular meetings, communicating with council members, planning
    content and preparing all meeting materials.
  • Working with the Director, Donor Relations and coordinating with OIA Stewardship and Special Events teams, oversees elements of donor recognition and cultivation/stewardship events for the Abington office including approval of donor recognition for the annual report and donor wall and planning of events such as the President’s Club quarterly lecture series, Million Dollar Roundtable Dinner, President’s Club Dinner and Elkins Legacy Society Luncheon.
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson
  • Understands and adheres to all OIA standard practices, policies, and protocols for fundraising actitivity.
  • Stays up-to-date on industry and institutional best practices through regular staff trainings and educational sessions.
  • Other duties as assigned

Education - Required

  • Bachelor’s Degree

Experience - Required

  • 3 years experience in administrative or operational roles. Experience in a fundraising office is a plus.

Knowledge, Skills and Abilities - Required

  • Ability to meet deadlines.
  • Comfort working in a fast-paced, high-volume environment.
  • Organizational ability and attentiveness to detail.
  • Familiarity with Microsoft Office applications.
  • Familiarity with The Raiser’s Edge or a comparable fundraising software system is helpful.
  • Collegial attitude and positive, self-motivated working style.
