The Assistant Director – Events and Conference Services serves as a central member of the Student Services Events and Conference Services Team and is primarily located at the Sun Devil Fitness Complex-Tempe. This position is responsible for the daily events and conferences in the SDFCs and its surrounding grounds. The role supports internal, student org and university department reservations and bookings as well as community rentals of the space. This position will support other events on campus as needed.
ESSENTIAL DUTIES:
Events & Reservations:
• Serve as the main administrator for bookings and reservations with Sun Devil Fitness Center at the Tempe campus and other locations as needed.
• Lead point of contact in preparation of contracts and agreements as they pertain to community rentals held at Sun Devil Fitness Complex facilities.
• Inventory and maintain equipment and supplies necessary for special events.
• Actively market and recruit events and rentals to the SDFC to maximize revenue generation.
• Coordinate all internal and external facility reservations associated with Sun Devil Fitness Complex Tempe; which includes 234,000+ square feet of facility space and 12 acres of field space (20,000+ bookings annually).
• Develop a priority schedule for wellness programs in the facilities, to support Sun Devil Wellness programs while maximizing revenue generation.
• Hire, train, mentor and evaluate Event Coordinators to support events.
• Communicate any event needs with Olympus custodial services to ensure the expected level of cleanliness is met and proactively maintained.
• Serve as a point of contact for audio visual troubleshooting in the SDFCs.
• Work as a part of Events and Conference Services team in providing and updating comprehensive policies and procedures to ensure all clients, including student organizations, departments, and community organizations, are knowledgeable and complies with University policies and practice.
• Assist with other duties as deemed necessary from the Director of Events and Conference Services.
Risk Management:
• Promote Risk Management training and preparedness for all staff. .
• Provide Risk Management training as a prominent and essential component of student event coordinator jobs with the department.
• Ensure current status of Red Cross certifications are maintained by student event team.
Desired Qualifications:
Experience working in facilities management or related position;
Experience in managing third-party service contracts;
Evidence of working collaboratively across different constituencies for effective service delivery;
Experience managing and developing full-time staff members and/or student worker populations;
Demonstrated proficiency in problem-solving and decision-making;
Evidence of effective written, interpersonal, oral, and verbal communication skills;
Experience maintaining effective working relationships, presenting to audiences, public speaking, analyzing problems, proposing effective solutions, and effectively delegating responsibilities to staff;
Experience meeting priority deadlines while providing accurate and excellent service.
