SUMMARY

The Assistant Director provides leadership for the Facilities department and oversees the maintenance teams.

ESSENTIAL FUNCTIONS

  • Leads the progressive and dynamic maintenance departments to support and advance institutional efforts.
  • Assists the Director in facilities and grounds master planning.
  • Provides leadership, mentors, and supervises staff; motivates and empowers staff to create environments that promote innovation; sets standards for excellent customer service. Ensures efficient and effective services ensuring high quality responsiveness.
  • Plans, organizes, and manages the operations and activities of landscaping, sustainability, motor pool fleet and equipment maintenance and repair, and safety.
  • Creates annual timelines, seasonal projects, daily work order requests, scheduled preventative maintenance (motorized vehicles or equipment), hazardous substance removal, replacement schedules (furniture and equipment), grounds/athletic field management, and deferred maintenance schedules. Sets and prioritizes maintenance assignments accordingly.
  • Maintains facilities heating, cooling, and fire prevention systems, including testing of safety systems; leads or participates in energy saving initiatives. Monitors and ensures compliance with federal and state regulations.
  • Participates in the development of maintenance and grounds budgets; monitors and controls expenditures to assure compliance with budgetary constraints.
  • Tracks status or work / project completion activities; refines and adjusts resource allocation as appropriate to address institutional priorities.
  • Communicates with vendors, contractors, and State and County inspectors regarding operations and activities, materials, specifications, scheduling and College policies and procedures.
  • Researches, analyzes, and resolves issues that arise and addresses them proactively; approves work order requests and determines approach strategy, which may include using current staff or outside vendors.
  • Networks and collaborates with stakeholders; establishes and maintains strong collegial relationships with staff, faculty, administrators, and community members; leads and serves on various committees.
  • As necessary, responds to on-call and emergency situations; supervises an on-call system for custodial and maintenance personnel.
  • Assists the Director in safety management and campus wide safety initiatives; assures safe operation of a variety of vehicles and equipment.
  • Establishes and initiates effective and timely communications to assure sharing of information.
  • Serves as a member on various college committees and teams; meets with other college personnel for events, projects, planning, idea sharing, issues resolution, operational communications, professional development, etc.
  • Remains current in practices, trends and research related to areas of assignment.
  • Attends related trainings, workshops, and professional development.
  • Cross trains to perform other departmental and team functions; backfills for staff as needed.
  • Actively participates in the development of a climate that promotes and supports innovation and efforts to continuously improve services to students, faculty, and the College.
  • Creates and maintains a collaborative and collegial environment with colleagues and maintains effective working relationships.
  • Maintains professional ethics and confidentiality in accordance with applicable laws and policies.
  • Performs other duties as assigned.
  • Reports to the Director of Facilities.

MINIMUM QUALIFICATIONS

  • Bachelor's degree in related subject and one year of related work experience; OR,
  • Associate's degree in related subject and three years of related work experience; OR,
  • Five years' experience in directly related work experience; AND
  • Current Montana Driver's License upon employment, and the ability to maintain licensure during employment.

PREFERRED QUALIFICATIONS

  • Current Montana state boiler's license, and the ability to maintain licensure during employment.
  • Experience managing teams and budgeting
  • Work experience in a public or large organization.

  • Ability to pass a driver's license records check and maintain current Montana Driver's License and a clean driving record
  • Ability to pass a criminal background check.
  • Ability to respond in the event of an emergency.
  • This is a Medium Duty job, according to the Selected Characteristics of Occupations Defined in the Revised Dictionary of Occupational Titles, U.S. Department of Labor and Industry. Medium Duty involves exertion of 20-50 pounds of force occasionally, and/or 10-25 pounds frequently, and/or up to 10 pounds continuously to move objects.
