Position Summary

The Assistant Director of Academic Advising, reporting to the Director of ACE, overseas and leads institutional advising and onboarding of new students. Key responsibilities include transcript evaluation, cultivating high-impact advisor-advisee relationships, and driving retention through proactive intervention. The Assistant Director of Academic Advising supports all efforts and services provided by the Academic Center for Excellence (ACE).

Essential Duties & Responsibilities

  • Manage student success tools, including Academic Degree Plans (ADPs), four-year plans, degree audits, and related systems.
  • Evaluate transcripts, articulate transfer coursework, enter transfer credit, and maintain accurate student academic records.
  • Develop student schedules, support course registration, and finalize records for financial aid processing.
  • Onboard and advise first-year, transfer, graduate, degree completion, and undeclared students, maintaining a caseload of approximately 100-200 students.
  • Coordinate early intervention strategies and provide academic support for students with alerts or advising concerns.
  • Collaborate with faculty, deans, and campus partners on course planning, availability, and enrollment forecasting.
  • Lead new student registration programs and establish best practices in academic advising.
  • Serve as an ombudsman for student concerns related to advising, registration, and student support services.
  • Represent the Academic Center for Excellence (ACE) at university events, trainings, workshops, and recruitment activities.
  • Support the operations of ACE departments, including the Academic Resource Center, Office of Accessibility Services, and Office of the Registrar.
  • Participate in continuous quality improvement initiatives and perform other related duties as assigned.

Minimum Requirements

  • Bachelor's degree in Education, Special Education, Counseling, Educational Psychology, or related field
  • Three to five years of work experience in higher education, in one of the following roles: academic advising, registrar/transcript analysis, teaching, admissions, or other related administrative experience
  • Strong oral and written communication skills; and strong organizational, interpersonal and problem-solving skills
  • Demonstrated ability for attention to detail and accuracy
  • Computer literacy for using digital tools such as Microsoft Suite and Ellucian Banner effectively
  • Ability to prioritize and perform multiple tasks
  • Ability to work effectively within a team and take initiative individually
  • Willingness to support the Catholic and Franciscan values of the university
  • Ability to perform the physical requirements of the position

Preferred Requirements

  • Master's Degree in Education, Special Education, Counseling, Educational Psychology, or related field
  • Advising or Teaching experience in higher education

Hours/Shift/Work Schedule

Hours/Shift/Work Schedule: Traditional Office hours, Monday - Friday, evening and weekend work as required, especially during registration periods

Physical Requirements of Position

Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This is sedentary work which requires the following physical activities: sitting, walking, bending, stooping, finger dexterity, repetitive motions, talking, hearing and visual acuity.
