Capitol Services is currently seeking an Assistant Director of Service Operations to join our growing team!

About the role: You will be responsible for assisting the Director of Service Operations, Department Heads, and Chief Operating Officer (COO) with overseeing the daily operations of Capitol Services’ service operations. This role involves working full-time, Monday through Friday.

What you will do:

  • Collaborate with key stakeholders to set departmental strategic goals and ensure alignment with Company’s vision
  • Develop, implement, and monitor department workflow, developing processes and best practices to maximize productivity and efficiency
  • Proactively identify operational issues and opportunities for innovation and improvement, proposing solutions to streamline efficiency
  • Participate as a service operations subject matter expert when it comes to Technology initiatives
  • Regularly review production data and lead department heads and management teams towards effective performance management of service employees
  • Consider the positive and negative impact of new service initiatives and products on service operations
  • Drive new service initiatives through hands-on leadership and delegation
  • Participate actively in company acquisitions to include assessment of employees, service lines, processes and procedures and onboarding plans
  • Effectively manage team employees through adherence to Capitol Services’ policies and practices
  • Participate in the hiring process by reviewing resumes, conducting interviews, and providing feedback on potential candidates
  • Conduct 45/90/120-day reviews for new hires and annual performance evaluations for assigned team
  • Oversee timecards, paid time off, and attendance for assigned team
  • Lead and manage all department heads to ensure effective coordination and communication
  • Proactively identify operational issues and opportunities for innovation and improvement, proposing solutions to streamline efficiency
  • Conduct training sessions and assist with client presentations and demonstrations
  • Maintain a deep understanding of our products and services’ technical features, capabilities, and benefits in order to effectively communicate technical details to both technical and non-technical audiences, including, but not limited to, clients, prospects, key stakeholders, and coworkers
  • Communicate with clients, coworkers, and others in a timely, effective, and professional manner
  • Oversee departmental projects and ensure deadlines are met
  • Serve as a point of contact for client issues or complaints and ensure timely resolution
  • Closely collaborate with IT to define product requirements and prioritize features and enhancements based on client needs and market trends
  • Participate in ongoing management training and certification program

Who you are:

  • Experienced: You have 10 years’ experience within Capitol Services or our industry and a proven track record of management positions. You have proven experience in complex Corporate, UCC, Registered Agent, and ARMS transactional service operations. You have proven experience with nationwide Secretary of State filing systems or platforms and overseeing high-volume operations.
  • Preferred: You have 12 years of job-related experience.
  • Excellent organizational and time management skills: You have the ability to multi-task and prioritize projects / assignments in a fast-paced and high-stress environment. You have strong excellent attention to detail and organization skills, and exhibit a reasonable sense of urgency.
  • Excellent communication skills: You have excellent presentation and verbal and written communication skills, with the ability to effectively communicate technical concepts to both technical and non-technical audiences. You communicate in both a professional and friendly manner with coworkers, correspondents, and others.
  • Adaptable: You are eager to use new tools and learn new processes and technologies. You can adapt to changing priorities while working in a fast-paced and high-stress environment. You have effective problem-solving skills, adapt to challenges, and demonstrate resourcefulness.
  • Coachable: You have the ability to retain and implement instruction and training. You are open to learning and navigating our current processes and systems. You are not afraid to ask questions.
  • Positive attitude: You demonstrate a positive attitude. You are courteous and polite, especially when navigating through difficult conversations, problems, or complaints that may arise.
  • Exceptional leadership: You are able to work in both a team and independent setting and cultivate a collaborative team environment. You are able to exhibit sensitivity to personnel management and confidentiality. You are able to maintain poise under pressure and exercise good judgement. You are able to analyze and evaluate personnel performance related to growth and development as well as necessitated disciplinary actions.
  • Reliable: You are able to work during our regular business hours. We will consider applicant in a hybrid work arrangement out any of our locations, including Austin, Tallahassee, Dover, Sacramento, Carson City, and Baton Rouge. You are a punctual individual and able to follow an assigned work schedule. You are able to maintain client confidentiality at all times.
  • Technical competencies: You are comfortable using Microsoft Software (Outlook, Word, and Excel) and interacting with Adobe PDF documents.
  • Office environment: You are able to remain in a stationary position 75% of the time.

  • $119,000 base salary or higher based on experience
  • Discretionary bonus awarded annually, depending on company and individual-level performance, typically 4 weeks of pay
