Position: Assistant Director of Student Accounts
Department: Student Financial Services Department
Reports to: Director of Student Accounts
Classification: Exempt
Position Type and Expected Hours of Work: Full-time, M-F, 8:30 - 5:00, overtime expected during periods of high activity
Travel: 2% and sometimes overnight
Summary/Objective: Reporting to the Director, the Assistant Director is tasked with reviewing, coordinating, and performing various professional accounting tasks related to tuition and fee assessment, student billing, and collections. This position assists in managing the day-to-day operations of the office, maintaining compliance, and ensuring a high level of customer service to students and parents. The office is reflective of the overall mission of the University.
Duties and Responsibilities
- Contributes to the overall success of the Student Accounts Office by supporting all aspects of student billing and collections, loans, receivables and cashiering functions and maintaining compliance.
- Assists with ensuring all Student Account Office representatives are consistently providing exemplary customer service to internal and external customers such as parents, students, staff and third parties.
- Responsible for overseeing the day-to-day operations of the Student Account Office in the absence of the Director of Student Accounts and providing exemplary customer service.
- Responsible for cashier functions including the security of funds, proper recording, timely depositing, petty cash, and reconciliation of cash receipts.
- Review student accounts for authorization of bookstore advances and resolves complex billing discrepancies.
- Assists with the continued training and development of current student account office team members as well as the training and onboarding of new team members.
- Responsible for third-party billing, employee tuition waivers, and commuter, faculty, and staff meal plan administration.
- Monitors TouchNet payment plans and payments for ACH returns, failed payments, and plan defaults.
- Assists with updating tuition and fee tables and posting transactions to the general ledger.
- Processes refunds, ensuring compliance with Federal Title IV regulations.
- Maintains functional expertise on the Colleague, Atrium, and Insights systems and promotes technology initiatives to support student self-service.
- Assists with maintaining documentation of all policies and procedures and the content of the Student Accounts Office website.
- Reviews outstanding receivables with the Director and executes methods for resolution of uncollectible accounts.
- Produces monthly, quarterly, and yearly reports and analyses.
- Demonstrates excellent organizational skills and ability to manage multiple projects in a fast-paced environment.
- Assists the Director in maintaining accuracy and compliance with University, federal and state regulations and guidelines including but not limited to FERPA, Title IV and IRS required filings related to 1098T.
- Monitors consistent adherence to University internal control policies and updates existing policies and procedures to implement industry standards.
- Responsible for the accuracy, security, and integrity of confidential data within the area.
- Creates and maintains a secure office environment to protect all information resources.
Qualifications
Qualifications:
- Bachelor of Science Degree in Business Administration or related field is required.
- At least 3 years of progressively responsible professional experience in a business office
- Experience working in the Student Accounts or Financial Aid office of a higher education institution is preferred with familiarity in Title IV regulations.
- Demonstrated knowledge of the principles, policies, procedures and standards in cash management and accounts receivable.
- Experience in resolution of complaints and disputes; demonstrated ability to balance adherence to policies with a need to support student success.
- Proficiency with Microsoft Office including Word and Excel, higher education ERP with Colleague experience is a plus.
