The Role
In this position, you’ll play a vital role in supporting our Project Management, Estimating and Administrative teams. You’ll help keep multiple projects organized, communicate with vendors and field staff, and ensure operations stay on track. This is a fast-paced position, ideally suited for a proactive, detail-oriented individual who excels at managing multiple priorities simultaneously.
Responsibilities
- Support the Project Manager and Estimator with daily tasks, coordination, and administrative functions.
- Manage project documentation, schedules, and communication flow between the office, field personnel, vendors, and clients.
- Monitor and track project progress, job updates, change orders, and warranty issues, while coordinating with the internal office team and project stakeholders (architects, engineers, subcontractors) to ensure requirements are met and identify cost-saving opportunities.
- Coordinate the procurement and delivery of materials and equipment from vendors and supply houses to ensure accurate and timely delivery.
- Apply, track, and manage project permits to ensure adherence to established timelines.
- Prepare and organize materials for meetings, including pre-construction and production meetings.
- Maintain comprehensive written records of all requests and project modifications (e.g., change orders, contract changes).
- Utilize internal systems (e.g., BuildOps, bid tracker, estimating software) to support project operations and tracking.
- Manage the submittal process between various vendors and Project Managers.
- Monitor project progress and identify potential issues or risks, taking proactive measures to mitigate them.
- Assist the estimating team by performing material takeoffs and reviewing electrical plans and blueprints.
- Gather and track pricing for materials and labor from vendors and suppliers.
- Support the preparation, submission, and tracking of project bids.
- Maintain current and accurate cost data for materials and labor resources.
- Contribute to the identification of cost-saving opportunities and analysis of project profitability.
- Facilitate and improve communication efficiency between office and field teams.
- Provide general administrative support.
- Assist in reviewing internal processes and identifying areas for improvement.
- Other duties and responsibilities as assigned.
Qualifications
- Administrative experience with a background in electrical or construction environments preferred.
- Have a background in reading electrical drawings and blueprints. Have the ability to decipher drawings and understand effectively what has been designed.
- Excellent critical thinking and problem-solving ability.
- General knowledge of electrical construction processes and code requirements preferred.
- Professional communication and interpersonal skills.
- Ability to efficiently navigate and utilize computer systems, software, and digital applications in a professional setting
