As an Assistant, Executive Administration, you will serve as the primary point of contact and administrative owner for the CFO, VP of HR, VP of Operations, and Field Leadership. You will also cross-train to provide seamless backup coverage for other executives on the team. In addition to core executive support duties, this role plays a key part in supporting field recruiting, onboarding, and contractor readiness processes in close partnership with Talent Acquisition (TA), Regional Managers (RMs), and HR.

What You’ll Do:

Executive Assistant Support

  • Organize executive, leadership, and department meetings; coordinate rooms, lunch orders, virtual links, agendas, materials, catering, and follow-up actions.
  • Manage complex calendars, proactively resolving scheduling conflicts and prioritizing time based on business needs.
  • Review, certify, and submit executive expense reports accurately and on time.
  • Coordinate executive travel, including itineraries, bookings, and adjustments as plans change.
  • Greet and coordinate logistics for visitors, candidates, or guests of the executive team as needed.
  • Plan and support internal events, off-sites, and team recognition activities.
  • Provide coverage planning for absences (own and peer EAs) to ensure no gap in executive support.
  • Print, organize, and route contract and legal invoices as required.
  • Identify opportunities to streamline administrative processes and improve service across supported functions.

Special Event/Trade Show Support

Support trade shows and company events, including registration, logistics, catering, and on-site coordination

Field Recruiting & Onboarding Support

  • Partner with Regional Managers (RMs) and Talent Acquisition (TA) to support field recruiting activities, including job postings, requisition details, and sourcing alignment.
  • Maintain ownership of candidate workflows within the Applicant Tracking System (ATS), ensuring accurate tracking, status updates, and reporting.
  • Provide regular updates to RMs on candidate progress, pipeline, and required actions within the recruiting process in partnership with TA.
  • Coordinate and support recruiting check-ins with Sales Leadership; capture insights and communicate updates or needs back to TA.
  • Facilitate and manage pre-contracted processes, including background checks, credit checks, and drug screenings.
  • Partner with HR to address and resolve any compliance alerts or issues related to background or drug screening results.
  • Verify Independent Contractor (IC) data and ensure timely communication with internal support teams for processing.
  • Initiate and manage candidate assessment results; communicate results to RMs in alignment with established benchmarks.
  • Ensure clear and timely communication of credit approvals and onboarding readiness.
  • Track candidates pending disposition in ATS and proactively communicate with RMs when action is required.
  • Collaborate with TA to establish and maintain disciplined cadence and standards for candidate dispositioning.

Additional Responsibilities

  • Own the tracking and processing of monthly field referral bonus programs, ensuring accuracy and timely completion.
  • Manage vendor relationships (e.g., TerryBerry) related to field tenure and recognition programs.
  • Support ongoing process improvement initiatives to enhance efficiency, compliance, and the overall candidate and contractor experience.
  • Serve as a liaison across Field Leadership, HR, and TA to ensure alignment and effective communication.
  • Collect and communicate new representative end-of-training feedback to relevant stakeholders.
  • Provide administrative and project support for strategic initiatives and special assignments.
  • Maintain confidentiality of sensitive employee, candidate, and business information always.
  • Support ad hoc reporting requests (e.g., recruiting metrics, expense summaries, headcount trackers) for leadership.

What You’ll Bring:

  • Associates degree required; bachelor’s degree preferred
  • A minimum of 3 years of administrative support experience is required, with prior support to Senior Management preferred.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Access, Outlook) and Adobe Acrobat.
  • Technical/analytical focus with attention to accuracy and quality of work.
  • Responsible self-starter who is well organized.
  • Ability to work independently as well as cooperatively within a team environment.
  • Above-average written and verbal English communication skills.
  • Ability to prioritize tasks effectively.
  • Experience handling confidential data.
