SUMMARYProvides administrative support for all entities of HSE and PSM for the PE&O facility. This position performs key tasks that impacts several compliance and regulatory obligations for the PE&O facility. This includes, but is not limited to: ESSENTIAL DUTIES AND RESPONSIBILITIESMay include, but are not limited to, the following:This position is focused on administrative process and systems improvements. Coordinate with Regional HSE Manager and Plant Manager to identify and improve administrative systems and processes. Train others on Westlake administrative practices, systems, and processes. Maintain environmental, safety and terminated medical files for the HSE department. Administers SAP processes for all HSE departmental and Admin (as needed) requisitions. Receive and approve service requisitions for HSE and Admin departments. Responsible for regulatory correspondence, report submittals and other outgoing mail which includes typing, obtaining appropriate signatures and attachments, distribution and certified mailing. Administers SDS management system - Creates SDS for Westlake products as needed, maintains database and hard copies of all approved chemicals for the complex. Responsible for tracking of open PHA action items create and distribute related reports. Provides assistance to the administration of Cority database as well as bi-monthly distribution of open action item reports.  Maintain all departmental procedures and forms.Maintain, prepare and distribute weekly, monthly, quarterly, and annual departmental reports as required. Maintain medical files, area accountability and safety incentive database for new hire and termination employees. Maintain and administer the complex Safety Award Program for all Lake Charles employees. Assist in issuing safety vouchers for company paid or reimbursed personal protective equipment. Assists Incident Command System by assuring all critical information related to logistics, communications and personnel are documented. Coordinates all scheduling and logistics for HSE Manager as needed for audits, meetings, functions or executive visits. Assists in travel arrangements for department personnel. Responsible for use, maintenance and reconciliation of company credit accounts.Responsible for purchasing all office supplies and small office furniture for HSE and Admin departments. Assures HSE department provides night and weekend coverage by maintaining "On Call" roster and communicating contact information to complex weekly via email distribution. Responsible for issuing plant wide or departmental communication via email. Responsible for maintenance and assuring postage software is up to date and functional. Provides support to the Sr. Community Relations Representative for events as needed. EDUCATION, EXPERIENCE AND QUALIFICATIONS A current, valid Transportation Worker Identification Credential (TWIC) card is required.High School graduate plus one to two years additional business education or comparable office experience. Intermediate software skills including Microsoft Word, Excel, Access, PowerPoint and SAP. 3-5 years of experience in administrative duties.  Successful candidates must satisfy background screening, including motor vehicle record screening, drug testing & pre-employment physical requirements before starting work.PHYSICAL DEMANDSWhile performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stoop, kneel, or crouch. The employee must regularly lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. WORK ENVIRONMENTThe noise level in the work environment is usually moderate as normally based in an office. Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc. May also result in exposure to outside elements and may require usage of stairs and elevators.
