Responsibilities

The Assistant Maintenance Manager supports the Maintenance Manager in overseeing all preventive, corrective, and proactive maintenance operations across La Estancia Club and Sewell Properties. This role directly supervises a team of 610 technicians, coordinates daily task assignments, manages work order workflows, and ensures that the clubs facilities, grounds, and mechanical systems are maintained to the highest standards. The position requires a hands-on leader who can balance fieldwork with administrative responsibilities including scheduling, reporting, vendor coordination, and inventory management.


Operations & Team Leadership

Supervise and coordinate daily maintenance activities across 15+ zones including the main complex, F&B areas, pools, tennis courts, landscaping, kitchen, laundry, esencia, and satellite properties

Lead, mentor, and schedule a team of maintenance technicians, ensuring balanced workloads and coverage across AM/PM shifts and weekends

Conduct daily morning and evening checklists and walkthroughs to verify facility readiness and identify emerging issues

Step in as acting Maintenance Manager during absences or as directed

Work Order & Task Management

Manage the full lifecycle of corrective work orders (WO system), from intake and prioritization through assignment, execution, and closeout

Maintain the Daily Log Journal, ensuring all taskspreventive, proactive, and correctiveare accurately logged with dates, descriptions, areas, assigned technicians, and status updates

Track and report weekly KPIs including task completion rates (target: 95%+), work order volume, technician productivity, and average tasks per day

Identify recurring issues and recommend preventive measures to reduce corrective work orders over time

Facilities & Grounds

Oversee HVAC systems, thermostats, electrical installations, plumbing, and general building maintenance across all properties

Coordinate multi-day projects such as LED installations, deck construction, painting, equipment installs, and landscape renovations

Manage pool maintenance, chemical parameters, and compliance with health and safety standards

Ensure all common areas, restrooms, lobbies, and member-facing spaces meet luxury hospitality presentation standards at all times

Vendor & Inventory Management

Coordinate with third-party contractors and vendors for specialized services including equipment installation, fumigation, sealing, and major repairs

Manage maintenance supply inventory, tool procurement, and fuel/diesel logistics

Obtain quotes, schedule vendor visits, and verify quality of completed third-party work

Reporting & Communication

Prepare and contribute to weekly executive maintenance reports with task summaries, KPIs, project highlights, and open items for leadership review

Communicate proactively with club management, F&B, housekeeping, and events teams to coordinate maintenance activities around member schedules

Document observations, equipment issues, and recommendations in the maintenance log system



Requirements

Qualifications


Required


3+ years of experience in facilities maintenance, property management, or building operations, with at least 1 year in a supervisory role


Working knowledge of HVAC, electrical, plumbing, and general building systems


Experience managing work order systems and daily task logs


Strong organizational skills with the ability to prioritize and manage multiple projects simultaneously


Proficiency with Excel/spreadsheets for logging, tracking, and basic reporting


Valid drivers license and ability to travel between properties in the Midland/Odessa area


Bilingual English/Spanish strongly preferred given our team and community


Ability to work a flexible schedule including early mornings, evenings, and occasional weekends as needed


Preferred


Experience in luxury hospitality, private clubs, resorts, or high-end residential property management


Certified Pool Operator (CPO) or ability to obtain within 90 days


Physical Requirements


This is an active, hands-on role. The Assistant Maintenance Manager must be able to lift up to 50 lbs, stand and walk for extended periods, work outdoors in West Texas heat, climb ladders, and operate maintenance equipment and power tools.
