Role Summary
The Assistant Project Manager supports the Project Manager from preconstruction through closeout, driving documentation flow, subcontractor coordination, and cost/schedule discipline to ensure projects are delivered safely, on time, and within budget. The role is on-site in Bloomfield, CT with travel to job sites and reports to the VP of Project Management.
Key Performance Objectives
First 30 Days
- Learn BBE systems and standards in Procore, MS Project, and other key tools/software.
- Build trust with Project Managers, Superintendents, and trade partners; clarify communication norms and meeting rhythms.
- Organize and take ownership of submittal/RFI logs and start maintaining look-ahead schedules.
First 60 Days
- Run end-to-end documentation workflows with minimal oversight, including contracts, change orders, and meeting minutes.
- Track budget updates and quantities; support buyout, cost control, and pay application preparation.
- Coordinate OAC action items and drive timely responses from design partners + subcontractors.
First 90 Days
- Independently manage submittal and RFI cycles in Procore with standard turnaround targets; maintain accurate log status and distribution.
- Create regular 3-week forecasts and update constraints; surface risks early with solution options.
- Establish strong field rapport and consistent subcontractor accountability on deliverables.
First 12 Months (365 Days)
- Operate as the PM’s right hand through a full project phase, leading internal and external coordination meetings when needed.
- Manage closeout documentation and punch coordination to shorten turnover timelines.
- Contribute to on-time, on-budget delivery and keep the business on track toward long-term growth goals.
Key Responsibilities
Project Operations
- Support preconstruction, procurement, and closeout activities across assigned projects.
- Maintain Procore logs, distribute documents, and ensure version control and meeting documentation.
Schedule and Cost Control
- Update look-ahead schedules; assist with tracking quantities, costs, and invoice review; prepare monthly pay applications.
Technical and Quality
- Review drawings and specifications for constructability and coordination; capture and track design clarifications via RFIs.
Stakeholder Coordination
- Communicate clearly with owners, architects, engineers, and subcontractors; monitor sub performance and safety compliance.
Systems and Reporting
- Use Procore, MS Project, and Excel to keep accurate, audit-ready records and reports.
Must-Have Qualifications
- 2-5 years of experience in commercial construction or project engineering.
- Bachelor’s degree in Construction Management, Engineering, Architecture, or equivalent experience.
- Proven strength in documentation control, project management, and multi-stakeholder coordination.
- Proficiency with Procore, MS Project, and Excel
- Clear, professional communication and a team-first, accountable mindset aligned with EOS principles.
Nice-To-Haves
- OSHA 30 certification or willingness to obtain.
- Background working in a general contracting environment
- Experience in manufacturing, non-profit, education, or life sciences projects.
- Technical knowledge of Bluebeam
