Type: Full-Time Contract (2-Year Term) / New York State Agency Position Summary Penda Aiken Inc. is a staffing firm located in Brooklyn, New York. Our client is a New York State Agency and is seeking an energetic, detail-oriented Assistant Project Manager to join the NY-SUN Department. In this role, you will assist in administering clean energy program documentation, managing contractor extensions and cancellations, and supporting standard operating procedures. This position involves fluctuating seasonal activity, with higher volume in summer months due to project modifications and steady administrative review in winter months.
This fast-paced role requires high reliability, punctuality, and a proactive problem-solving mindset to identify process inefficiencies and maintain exceptional quality control across program applications. Primary Responsibilities
Program Document Review: Review and process standard program documents, verifying application details against supporting project documentation for energy storage and solar initiatives.
Contractor & Project Coordination: Manage contractor extensions, process cancellations, and track project modifications through seasonal workflow fluctuations.
SOP & Operations Maintenance: Maintain and refine standard operating procedures; evaluate operational processes to ask critical "why" questions and drive continuous quality improvement.
Data & System Management: Utilize operational tools and databases to input, track, analyze, and manage program records across cross-functional systems.
Stakeholder Support: Collaborate with internal state agency teams and external program participants to answer inquiries and ensure smooth project delivery within EST operating hours.
Minimum Qualifications
Experience: 1 to 5 years of professional operations or project coordination experience (candidates with up to 10 years will be considered if aligned with an assistant-level scope).
Technical Skills: Strong proficiency in Microsoft Office Suite (Excel and Word); experience with databases such as Salesforce or Oracle is preferred; experience with Asana is a plus.
Industry Knowledge: Basic familiarity with clean energy, energy storage, or solar energy concepts, as well as general knowledge of New York State utility regions and dynamics.
Core Competencies: Exceptional attention to detail, strong organizational skills, excellent operational judgment, and a proactive "go-to" attitude in a fast-paced environment.
Work Schedule: Ability to work 40 hours per week during Eastern Standard Time (EST) hours (open to West Coast candidates who strictly work EST hours).
