The Assistant Property Manager plays a vital leadership role in creating a seamless living experience for our Villagers while supporting the Property Manager in all aspects of The Village’s daily operations. This position requires the unique ability to balance hospitality with operational precision ensuring every Villager feels heard, valued, and at home while maintaining the integrity, structure, and financial success of The Village and neighborhood goals. 

As the bridge between Villagers, team members, and leadership, the Assistant Property Manager ensures that The Village policies and procedures are upheld with consistency, while also bringing forward ideas that enhance efficiency, communication, and the overall Villager experience. 


Essential Duties and Responsibilities:

Financial & Administrative Leadership:

 
  • Assist in overseeing The Village’s financial performance, including rent collection, invoice processing, and month-end reconciliation.  
  • Post and process rent payments accurately, review delinquencies, and support Villagers through balance resolution or payment plans when possible.  
  • Prepare files for potential collections, coordinate legal actions such as evictions, and communicate timelines clearly to all parties involved.  
  • Deliver all notices (balance dues, non-renewals, rate increases, etc.) with professionalism and empathy.  
  • Support the Property Manager in budget oversight, expense tracking, and revenue reporting    
Operational Excellence: 
  • Act as the on-site leader when the Neighborhood Leader is unavailable, ensuring operations, communication, and service standards remain consistent.  
  • Partner with maintenance and leasing teams to ensure unit turns, work orders, and community projects are completed efficiently and meet The Village’s standards.  
  • Conduct regular property walks and inspections to maintain safety, curb appeal, and functionality.  
  • Manage Villager move-ins and move-outs, ensuring all steps from notices and inspections to follow-up communication are handled thoroughly and on time.  
  • Coordinate recurring vendor services such as pest control, carpet cleaning, and resurfacing while communicating schedules to affected Villagers.  
  • Assist with lease and renewal paperwork and approval processes.   
  • Maintain accurate and timely task tracking in Entrata, ensuring dashboards and reports are always current.  
  • Participate in daily team meetings, communicate the day’s priorities, and ensure alignment on goals and expectations. 

 Villager Relations & Experience:
  • Serve as a trusted liaison for Villagers addressing questions, concerns, and feedback promptly and with genuine care.  
  • Help foster a sense of belonging by maintaining open communication and ensuring that every Villager feels respected and supported.  
  • Manage lease compliance with a balanced approach upholding The Village’s policies while maintaining empathy and fairness.  
  • Collaborate with the Neighborhood Leader and team to plan communications, inspections, and engagement opportunities that enhance the Villager experience.  
  • Deliver notices, follow up on maintenance requests, and ensure every interaction reflects The Village’s commitment to exceptional hospitality and service. 
Qualifications  
  • 1–3 years of experience in multifamily property management or a related field preferred.  
  • Proven ability to manage multiple priorities in a fast-paced, dynamic environment.  
  • Strong understanding of leasing, accounting, and fair housing compliance.  
  • Exceptional organizational, communication, and leadership skills.  
  • Proficiency with Entrata or similar property management software.  
  • A hospitality mindset balancing warmth, accountability, and professionalism in every interaction.
