Position Summary

The Assistant Registrar for Scheduling & Academic Progress serves as a key member of the Office of the University Registrar, providing leadership and operational expertise in academic scheduling, student academic progress, degree evaluation, registration processes, and academic policy administration. This position is responsible for managing course scheduling and classroom utilization while also overseeing academic program evaluation, degree progression, curricular exceptions, graduation processes, and strategic academic communications, with a focus on non-traditional programs.

The position collaborates extensively with faculty, academic departments, advisors, Academic Affairs, Information Systems, and Student Success to ensure the accuracy, integrity, and effectiveness of academic records, scheduling systems, student progression processes, and curriculum operations.

Core Responsibilities

Academic Scheduling & Classroom Management | 30%

  • Manage university classroom usage, instructional facilities, and the course schedule for all academic terms.
  • Coordinate the collection, review, and publication of departmental course schedules, evaluating course times, capacities, and room assignments based on institutional needs and classroom availability.
  • Maintain accurate course and section information within the student information system.
  • Collaborate on development and publication of academic calendars and weekly class schedules and serve as the primary point of contact for faculty and staff regarding course scheduling and classroom usage.
  • Provide data, reports, and analysis related to classroom utilization and scheduling practices to support strategic decision-making.
  • Develop and provide campus-wide training related to scheduling processes and systems.

Academic Progress, Degree Evaluation & Policy Guidance | 30%

  • Provide expert guidance to students, faculty, staff, and advisors regarding academic program requirements, degree progression, graduation eligibility, and academic policies.
  • Monitor academic progress and degree completion for all student populations with a focus on non-traditional programs
  • Process program change requests and maintain accurate student academic evaluations and records.
  • Interpret, maintain, and generate degree audit and academic evaluation reports.
  • Manage and communicate academic policies related to transfer credits, alternative credits, grades, graduation requirements, substitutions, waivers, and academic standing.
  • Support incomplete, midterm, and final grade processing, reporting, and communication.
  • Assist in ensuring the academic integrity of credits and degrees awarded by the university.
  • Maintain expertise in technologies supporting academic programs, evaluations, and degree conferral processes.

Registration, Advising & Student Support | 20%

  • Support registration processes, including waitlists, directed studies, and registration troubleshooting
  • Assist with new student registration and onboarding processes for first-year and transfer students.
  • Produce advising and student progression reports for advisors, departments, and administrators.
  • Develop strategic communications related to key academic dates, milestones, and student success initiatives.

Curriculum, Systems & Data Management | 10%

  • Manage approved curricular substitutions, waivers, and academic exceptions.
  • Assist with design, maintenance, and improvement of office forms, workflows, reports, and operational processes.
  • Ensure data integrity, consistency, compliance, and quality control across academic records and scheduling systems.
  • Develop quality-control and operational reports supporting registrar functions.

Graduation, Commencement & Other Responsibilities | 10%

  • Determine student eligibility for degree conferral and manage graduation application and degree conferral processes in partnership with other Assistant Registrars
  • Maintain graduation data and provide reports to university stakeholders.
  • Support federal and institutional degree reporting requirements.
  • Assist with commencement planning, communications, program production, and related logistics.
  • Represent the Office of the University Registrar on committees and university initiatives as assigned.
  • Perform other duties as assigned.

Qualifications and Core Competencies

  • Bachelor's degree; equivalent combinations of education and relevant experience will be considered.
  • Two to three years of relevant experience in higher education administration, registrar operations, student services, academic scheduling, records management, advising, or related administrative work.
  • A personal commitment to the Christian faith and to the integration of faith and learning.
  • A commitment to the educational mission of Whitworth University as a comprehensive Christian liberal arts university affiliated with the Presbyterian church.
  • Experience working with student information systems such as Colleague, Banner, or similar platforms preferred.
  • Familiarity with FERPA regulations and academic policy administration strongly preferred.
  • Strong proficiency with Microsoft Office Suite, especially Excel, and data management systems.

Schedule

Full-time (1.0 FTE) | 12 months | 40 hours per week

Whitworth office hours are 8 AM to 4:30 PM Monday - Friday
