Job
Goal
To
perform
complex
clerical
and
administrative
support
functions
requiring
a
high
degree
of
accuracy,
discretion,
confidentiality,
and
independent
judgment
in
support
of
school
or
departmental
operations.
Responsibilities
The
Assistant
Secretary
shall
perform
duties
including,
but
not
limited
to:
Clerical
&
Administrative
Support
1.
Prepare,
type,
edit,
and
proofread
correspondence,
reports,
and
other
documents
using
word
processing,
spreadsheet,
and
database
applications.
2.
Perform
advanced
clerical
functions,
including
data
entry,
recordkeeping,
and
document
management.
3.
Maintain
accurate
and
up-to-date
filing
systems
(electronic
and
paper).
4.
Operate
office
equipment
and
technology
necessary
to
support
office
operations.
Office
Operations
&
Coordination
5.
Receive,
screen,
and
route
incoming
calls,
emails,
and
correspondence.
6.
Serve
as
a
point
of
contact
for
parents,
staff,
and
the
public,
providing
information
and
assistance.
7.
Schedule
and
coordinate
meetings,
appointments,
and
events;
maintain
calendars.
8.
Prepare
meeting
materials,
agendas,
and
minutes,
as
assigned.
9.
Assist
with
travel
arrangements
and
logistical
coordination
when
required.
Records,
Reporting
&
Compliance
10.
Assist
in
compiling
data
and
preparing
reports
required
by
administration,
board
policy,
or
regulatory
agencies.
11.
Maintain
accurate
records
and
ensure
compliance
with
district
procedures
and
applicable
regulations.
12.
Handle
confidential
information
and
records
in
accordance
with
district
policies
and
legal
requirements.
Customer
Service
&
Communication
13.
Greet
and
assist
visitors,
ensuring
proper
sign-in
procedures
and
directing
them
appropriately.
14.
Provide
assistance
with
forms,
applications,
and
general
inquiries.
15.
Communicate
effectively
with
staff,
students,
families,
and
community
members.
Inventory
&
Office
Management
16.
Order,
receive,
store,
and
distribute
office
supplies;
maintain
inventory
records.
17.
Track
and
manage
incoming
and
outgoing
and
correspondence.
Other
Duties
18.
Perform
specialized
assignments
and
support
projects
as
directed
by
administration.
19.
Work
independently
while
managing
multiple
priorities
and
deadlines.
20.
Perform
other
duties
as
assigned
by
the
Building
Principal
or
designee.

of

Qualifications
Education
&
Experience
1.
High
school
diploma
or
equivalent
required
2.
Prior
clerical
or
administrative
support
experience
preferred
3.
Minimum
typing
proficiency
(e.g.,
40
words
per
minute)
preferred
Knowledge

4.
Knowledge
of
office
administration
practices,
procedures,
and
workflow
5.
Proficiency
in
Microsoft
Office
Suite
(Word,
Excel,
Outlook,
PowerPoint)
and
other
office
systems
6.

correspondence
