The Assistant Sports Facilities Manager supports daily leadership, management, and operation of SUNY Cortland's Sports Facilities in the absence of the Sports Facilities Manager and Alumni Arena Manager. This position serves as the working supervisor, coordinating facilities operations, supporting event execution, performing facility and ice maintenance activities, and supervising staff to ensure faculties are safe, functional, and prepared for use. This position requires a flexible schedule, including mornings, evenings, weekends holidays, and other hours as operational needs dictate.
Starting Salary: $57,700 + depending on experience (DOE)

Major Responsibilities
Facility Operations & Maintenance
Alumni Arena
- Serve as the supervising professional on duty of Alumni Arena in conjunction with the Alumni Arena Manager, overseeing daily operations and ensuring facilities are prepared and properly staffed during all hours to meet user needs.
- Assist the Alumni Arena Manager with installation and removal of the hockey boards, glass and ice in Alumni Arena before and after each season.
- Perform daily ice maintenance, including but not limited to, successful operation of machine edger, ice-resurfacer, ice chippers and other maintenance tools during evenings and weekends.
- Perform routine preventative maintenance, inspections, and minor repairs on the ice resurfacing machine and related facility equipment to ensure safe and reliable such as blade changes, greasing, oil changes, etc.
- Manage usage of Alumni Arena with and without ice including practices, games, intramural events, major campus events and any external groups in absence of the Alumni Arena Manager.
- Sharpen ice skates and repair equipment as needed.
- Assist with facility preparation, equipment setup, safety inspections, and event breakdown activities to ensure facilities are operationally ready for scheduled activities.
Sports Facilities
- Serve as the supervising professional on duty of SUNY Cortland Sports Facilities in conjunction with the Sports Facilities Manager, overseeing daily operations and ensuring facilities are prepared to meet user needs.
- Conduct walkthroughs to identify maintenance issues. Submit and track work orders to keep Sports Facilities in good working conditions.
- Develop and improve the quality of opening and closing procedures to ensure the safety and cleanliness of the Sports Facilities comply with SUNY Cortland policies and accessibility standards.
- Plan, coordinate, and manage events of SUNY Cortland and external user groups utilizing SUNY Cortland Sports Facilities to ensure seamless execution in conjunction with the Sports Facilities Manager.
- Complete and/or ensure all setups are done for various user groups during their respective programs taking place at SUNY Cortland Sports Facilities.
Personnel Management
- Serve as the lead point of contact for campus user groups of the Sports Facilities in the absence of the Sports Facilities and Alumni Arena Managers.
- Act as a liaison between staff and management, relaying information in both directions. Facilitate open communication and collaboration within the office.
- Develop and maintain relationships with other university departments and offices to assist in the planning and execution of events and upkeep of the Sports Facilities.
- Develop and maintain relationships with third party vendors.
- Recruit, train, schedule, supervise, and evaluate staff. Provide clear instructions, regular feedback, and coaching. Communicate performance expectations and goals, complete performance programs and evaluations in a timely manner. Nurture the development of staff by identifying opportunities for training and career development.
- Assign duties to staff based on roles and adjust assignments as needed. Plan, organize and monitor the progress of work and goal completion.
- Confirm staff complete required training to maintain compliance with university policies and state and federal law.
- Develop, implement and update staff manuals to reflect the expectations of duties assigned to staff.
Administrative Duties
- Learn and utilize the SUNY Cortland campus scheduling software to manage and maintain Sports Facilities schedules, generate usage reports and analyze data to optimize space utilization.
- Maintain accurate inventory records and oversee proper storage of equipment used at SUNY Cortland Sports Facilities using standardized, reportable methods.
- Collaborate with stakeholders to identify, select and purchase updated equipment needed for use within the Sports Facilities, ensuring cost-effective solutions.
- Promote SUNY Cortland Sports Facilities to community and external organizations generating more usage of the SUNY Cortland Sports Facilities.
- Provide information and respond to inquiries from potential users of the SUNY Cortland Sports Facilities in an effective and efficient manner to ensure a positive user experience.
- Maintain up-to-date records and implementation of operational policy, procedures, rules and regulations.
- Prepare and maintain records of annual reports and project requests for institutional use and future planning.
- Serve on campus and external committees as needed to build relationships and stakeholder knowledge of SUNY Cortland Sports Facilities services.
Functional and Supervisory Relationships
- Reports to the Sports Facilities Manager and works with the Alumni Arena Manager.
- Manage daily tasks of Sports Facilities and supervision of staff.
- Works collaboratively with all campus departments/offices of SUNY Cortland and external users looking to utilize Sports Facilities.
Required Qualifications
- Bachelor's degree or minimum 3 years working at a multipurpose sports facility.
- Experience supervising volunteers, students, and/or employees.
- Ability to work a flexible schedule, including mornings, evenings, weekends holidays, and other hours as operational needs dictate.
Preferred Qualifications
- Experience coordinating and scheduling athletic, recreational, and event facilities within a college or university environment.
- Experience in hiring, training, scheduling, supervising student personnel.
- Experience with scheduling software used by multiple departments/offices of an organization.
- Experience managing operational budgets, purchasing supplies and equipment, and supporting high-scale athletic and special events.
- Experience coordinating event logistics and supporting game-day operations in an athletic venue.
Knowledge, Skills & Abilities
- Knowledge of sports facilities standards and the operation of the equipment used in a sports facility.
- Demonstrate initiative, adaptability, creativity and resourcefulness, with the ability to make sound operational decisions in a fast-paced environment.
- Demonstrated ability to perform physical labor, including standing for prolonged periods and moving equipment (up to 50 lbs.) and conducting basic equipment repair.
- Proficient knowledge of Microsoft Office and related productivity tools.
- Strong organizational skills and attention to details, with experience managing complex calendars, preventing scheduling conflicts, and optimizing space utilization.
- Demonstrated ability to work in a team environment while also being a self-starter.
- Strong oral and written communication skills, with the ability to effectively engage and collaborate with diverse constituencies.
- Willingness and ability to work flexible hours including late nights, weekends and holidays.
- Strong problem-solving and critical thinking skills.
- Ability to operate, maintain, and troubleshoot ice arena equipment and sports facility.
- Ability to establish and maintain effective working relationships with students, faculty, staff, vendors, and community partners.
