Job Description

The Museum of Modern Art is currently accepting applications for an Assistant to the Robert Lehman Chief Curator of Drawings and Prints who will provide wide-ranging administrative support to the Chief Curator and to the daily operations of the Drawings and Prints Department. The Assistant to the Chief Curator also assists in the preparation of exhibitions, reports, procedures, programs, and special projects. This position is on-site Monday through Friday.

Responsibilities:                    

  • Manages and assesses the daily needs of the Chief Curator, including coordinating a complex calendar, anticipating needs, prioritizing requests, and proactively resolving conflicts.
  • Coordinates the Chief Curator’s complex travel, both international and domestic. Prepares detailed agendas, anticipates needs, and troubleshoots when there are unexpected changes.
  • Serves as first point of contact and liaison with a high level of confidentiality for all of the Chief Curator’s contacts, including trustees, artists, scholars, galleries and dealers, and art world professionals; drafts formal and informal correspondence on the Chief Curator’s behalf.
  • Answers the telephone line for the Chief Curator, as well as the main department line, and the Department Manager’s line as needed; screens requests and triages for appropriate next steps.
  • Performs general administrative duties for the Chief Curator and the Drawings and Prints Department, including organization and maintenance of the office area, Study Center, and library.
  • Provides support for Drawings and Prints Committee Meetings and Departmental exhibitions, as needed.
  • Assists with day-to-day financial operations such as maintaining and reconciling the Chief Curator’s expenses and processing invoices.
  • Supports special programming and events related to the Chief Curator and the Department, including exhibition tours, lectures, roundtable discussions, symposia, etc.
  • Assists with preparation of presentation materials for internal and external engagements.
  • Coordinates and completes projects and administrative assignments as directed by the Chief Curator.
  • Acts as researcher on curatorial initiatives and projects, as needed.
  • Performs any other duties reasonably related to the functions described above.

Requirements:

  • Bachelor's degree, and five or more years of relevant experience in administrative and/or development positions or equivalent.
  • Experience managing a complex calendar and coordinating complex travel arrangements.
  • Superior discretion, judgment, attentiveness, and professional initiative.
  • Excellent verbal, written, and interpersonal communication skills.
  • Superior ability to compose and edit formal correspondence.
  • Must work well under pressure and possess high levels of tact and diplomacy.
  • Experience in a non-profit setting communicating with high-level donors, trustees, and preferably with artists, artist studios, etc.
  • Ability to anticipate needs and prioritize tasks accordingly.
  • Organized and able to handle multiple tasks and shifting priorities in a fast-paced environment.
  • Strong verbal communication abilities.
  • Strong computer skills, including proficiency with Google Workspace (Drive, Gmail, Slides, Docs), Microsoft Office Suite (Word, Excel, PowerPoint), expense and travel management software (Salesforce, Navan).
  • Art history and research background is desirable but not essential.
  • Knowledge of one or more languages, in addition to English, is a plus.

Salary:   The salary for this position is $64,023 (gross) per annum
