Position TitleResident Care AssistantOverviewThe Assisted Living Staffing Coordinator is responsible for management of the Assisted Living schedule. This position reports to the Assisted Living Director.Shift AvailablePart-Time: Monday through Friday 20 hours a week with flexibilityEssential Job FunctionsRespond to telephone calls appropriately and courteously by answering the phone, transferring calls, taking messages and giving callers accurate information.Create and maintain all Health Services schedules for Assisted Living. This includes ensuring adequate staffing for all Assisted Living departments, covering shifts/assignments as needed, informing manager of staffing issues.Track tardies and absences according to policy; prepare disciplinary action forms as needed related to attendance issues for Assisted Living Supervisors.Track and maintain associates leave of absence; provide assistance to associate in coordinating leave with correct Human Resource representative for assistance with process and needed documentation.Track PRN (as needed) shifts per month and send communication to associates not meeting the required minimum prn hours per month and share with the Resident Care Coordinator for next steps.Assist Director and Assisted Living Manager with processing all terminations and change of status forms.Assign and communicate on-call shifts to PRN and part time staff.Monitor for missed punches, breaks, correct departments and maintain timesheets for Assisted Living Associates.Process and approve timesheets and payroll spreadsheet biweekly.Approve time or deny time off requests according to business needs.Review weekly compliance report and follow up with associates who have a class due within the next 30 days.Follow up with associates out of compliance, remove them from the schedule, process pdn for being out of compliance and give to Resident Care Coordinator for next steps.Assist in orientation process for new assisted living associates, including providing education on scheduling policies and procedures, new associate uniform fitting, education classes/training schedule, associate contact information and other orientation related items.Assist Quality Coordinator with monthly audits as needed.Cooperate and work together as a team with all co-workers; plan and complete job duties with minimal supervision and good judgment.Support the Director of Assisted Living and Assisted Living Manager as needed with other duties as assigned.Maintain and ensure compliance with The Village policies and procedures as well as AHCA regulatory standards.Attend departmental education and all required in-service training/education.Respond to all fire alarms and assist in the evacuation of residents when needed.Perform other duties as required.QualificationsHigh school diploma or equivalent is required.One (1) year of supervisory experience is preferred.Ability to operate multi-line telephone.Ability to understand and follow both written and verbal communication.Critical Skills/ ExpertiseExcellent interpersonal skills and customer service skills.Be a self-starter and work independently.Represent the organization in a professional manner and with a customer-oriented approach.Ability to remain calm and use common sense in stressful or serious situations.Ability to work well with others, including associates and leadership.Equipment SkillsPC Workstation.Other various office equipment and supplies.Physical RequirementsProlonged sitting.Moderate amount of bending, stooping and reaching as part of routine duties and activities.Ability to bend, squat, sit, stand and lift up to 50 lbs.Working ConditionsIndoors, heated and air‑conditioned offices and common areas.Pleasant surroundings with busy traffic area.LocationThe Village at Gainesville is located in Gainesville, Florida.
