Overview:

The Associate Logistics & Trade Compliance Specialist is responsible for establishing and maintaining commercial relationships with logistics service providers and for initiating and coordinating shipments to support project sites and fabrication shops, with a focus on delivering high-quality service, competitive pricing, and favorable terms. Additionally, while following existing Logistics & Trade Compliance procedures to handle routine or standard issues by adhering to instructions, guidance, and direction from team members, they will apply their conceptual knowledge of theories, practices, and procedures related to Logistics & Trade Compliance and Supply Chain.

 

This position is a Professional role that reports directly to the Logistics & Trade Compliance Manager for the Americas region and routinely interacts with Supply Chain, Operations, Accounting, and Engineering.

Responsibilities:

• Responsible for soliciting budgetary pricing for Logistics to support estimating/proposal efforts.
• Prepares bidder lists, proactively seeks out and qualifies new potential Logistics Service Providers.
• Creates and issues contracting documents with Logistics Service Providers.
• Coordinate inbound & outbound shipments with vendors, fabrication shops, and project sites, including the transportation of goods, managing logistics providers, and tracking shipments to ensure timely delivery
• Keep, organize, and maintain hard copy & electronic documentation supporting shipments (domestic or international) and of all import/export activities, including but not limited to commercial invoices, packing lists, and certificates of origin.
• Maintain audit-ready compliance files according to corporate and regulatory requirements.
• Help classify materials using HTS codes, ECCNs, and other compliance identifiers.
• Communicate with freight forwarders, brokers, domestic carriers, and equipment suppliers to schedule pickups, track shipments, and resolve issues.
• Liaise between the Company, Vendor, and the assigned carrier on the shipping movement and documentation of material.
• Report potential delivery bottlenecks that could affect construction sequencing or critical path activities.
• Maintain accurate logistics data in the company ERP system.
• Record shipment details, tracking data, and compliance documents.
• Update internal dashboards and logs to keep project teams informed of delivery progress.
• Review, audit, and verify all Logistics Service Providers’ invoices to ensure compliance
• Ensure proper follow-up is done to resolve any disputed invoices on time
• Enthusiastically seeks and accepts tasks and projects in rotations that allow for maximum experience and growth
• Perform other duties assigned as needed.

Local Requirements:

• This role routinely interacts with internal Operations & Function Managers, Executive Management, Professional Staff, and Corporate Function Leads.

Qualifications:

• All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all of the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations
• College degree in Business, Supply Chain or Logistics, or industry equivalent certifications
• 0-3 years of experience in a Logistics discipline with practice of regulatory compliance with import/export regulations related to the international oil & gas industry
• Must be proficient with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
• Understanding of U.S. trade regulations (ITAR, EAR, OFACE, etc.)
• Understanding and experience working with the Department of Transportation (DOT) is highly preferred
• Understanding and experience working with international customs and export control laws is highly preferred
• EPC Industry experience preferred
• Ability to travel up to 25%, domestically, as required
