Associate Client Experience Specialist

What will I do:

The Associate Client Experience Specialist serves as a critical support partner to the Client Management team, ensuring accurate system data, efficient workflow execution, and uninterrupted service for clients. On a day-to-day basis, the individual maintains facility and job records within the ATS, supports submission and placement activities, assists with escalations, and helps expedite candidate movement through the staffing process. The role also provides coverage for Client Manager accounts when needed, ensuring service continuity. In addition, this position contributes to broader operational initiatives through process documentation, cross-training, data quality audits, reporting, and support for new client implementations. Success in the role is measured by responsiveness, workflow accuracy, service continuity, and the ability to drive positive submission, offer, and placement outcomes.

Day in the Life:

• Validate data in the applicant tracking system to support accurate and efficient workflows.
• Create and maintain facility and job mappings in the applicant tracking system.
• Partner with Client Experience Managers to expedite qualified candidate submissions.
• Facilitate offers, placements, and related workflow processing.
• Provide temporary coverage for assigned Client Experience Manager accounts during workload spikes, paid time off, leaves of absence, and vacancies.
• Manage traveler and client communications during coverage periods to ensure responsive, consistent service.
• Assist with escalations and urgent service requests, coordinating with the appropriate internal teams when needed.
• Support onboarding and credentialing coordination when needed to keep placements moving forward.
• Crosstrain on client accounts and maintain process documentation to strengthen team coverage.
• Conduct system and data quality audits and resolve or escalate discrepancies.
• Support new client implementations, including system setup, mapping, and workflow readiness.
• Assist with operational analytics and reporting to identify trends and opportunities for improvement.
• Collaborate with recruiting, quality assurance, onboarding, and other internal teams to deliver top professional quality and service to our customers and partners.

How Success Is Measured:

• Submission-to-offer conversion rate while covering assigned accounts.
• Speed to submit while covering assigned accounts.
• Response time and continuity of service.
• Offer-to-placement conversion rate.
• Applicant tracking system accuracy and compliance. 

Who Am I:

• College degree preferred. Relevant experience may be considered in lieu of education.
• One or more years of experience in customer service, inbound sales, or business development.
• Must have excellent phone presence and presentation skills.

• Proven record of detail management.
• Must be driven, dynamic, energetic, and friendly.
• Proven track record of successful management of customer relationships and experience preferred.
