Role: Associate Contracts Manager – Outgoing MTA Program
Location: South San Francisco, CA 94080 (Hybrid – 3 days onsite / 2 days remote)
Contract Duration: 6 Months (Potential for extension or full-time conversion)
Pay Rate: $27.36 – $43.44/hour + Benefits

Position Summary
The Associate Contracts Manager will support the Research Contracts Group within the Research organization and manage the full lifecycle of the Outgoing Material Transfer Agreement (MTA) Program. This role is responsible for processing a high volume of MTAs (up to 400 annually) while collaborating with research scientists, leadership teams, Legal, academic institutions, technology transfer offices, and internal logistics teams. The ideal candidate will thrive in a fast-paced environment and demonstrate strong organizational, communication, and problem-solving skills.
 
Key Responsibilities
  • Manage the end-to-end lifecycle of Outgoing Material Transfer Agreements (MTAs), maintaining an active workload of approximately 70–110 MTAs simultaneously.
  • Communicate MTA status updates and key agreement details to internal stakeholders, leadership, Legal teams, academic researchers, and external technology transfer offices.
  • Effectively manage a high volume of daily email communication while maintaining responsiveness, professionalism, and accuracy.
  • Apply understanding of scientific terminology and materials, including antibodies, plasmids, DNA, genetically modified animal models, progeny, derivatives, and related concepts.
  • Demonstrate foundational knowledge of legal agreement concepts, including amendments, obligations, and contracting parties.
  • Coordinate agreement execution and obtain signatures following approved internal processes.
  • Complete post-execution activities including:
    • Distributing fully executed agreements
    • Filing documentation with Legal Records
    • Maintaining database records
    • Coordinating shipment initiation
    • Managing import/export documentation and shipment-related issues
  • Maintain accurate, real-time tracking of agreements and status updates within the MTA Database.
  • Support administrative activities including document filing, meeting coordination, and data management.
 
Qualifications
  • Bachelor’s degree in a scientific discipline required; legal education or experience is a plus.
  • Preferred 2–4 years of relevant professional experience.
  • Experience in pharmaceutical, biotechnology, and/or university environments preferred.
  • Prior experience drafting and managing agreements.
  • Ability to manage competing priorities in a fast-paced environment.
  • Strong problem-solving capabilities with the ability to follow established procedures while independently identifying improvements.
  • Excellent written and verbal communication skills.
  • Strong time management, prioritization, and organizational abilities.
  • Highly detail-oriented with a collaborative mindset and strong work ethic.
  • Comfortable using databases and enterprise systems.
  • Proficiency with Microsoft Office Suite (Word, Excel, etc.) and Google Workspace applications.
  • Demonstrated critical thinking and the ability to make sound decisions and recommend solutions independently.
