ASSOCIATE DIRECTOR, REGISTRATION

 

SUMMARY

This position is responsible for the management of the registration process for NCBA events including the Cattle Industry Convention, Summer Business Meeting and other NCBA meetings as needed. Additionally, this position serves as an active member of a team responsible for the planning, coordination and management of the Cattle Industry Convention, Summer Business Meeting and other NCBA Meetings.  This position functions as a key member of a team responsible for the coordination, setup and management of the NCBA registration and housing systems, practices and procedures as well as multiple events and meetings that take place during the convention. Additionally, this position manages several small meetings throughout the year.   

 

ESSENTIAL FUNCTIONS

An employee in this position may be called upon to do any or all the following essential functions. These examples do not include all the functions which the employee may be expected to perform.

 

  • Implements tactics of NCBA’s registration, practices and procedures for the Convention as well as other NCBA meetings as needed.
  • Manages event details for the Cattle Industry Convention, Summer Business meeting and other NCBA meetings as needed.
  • Management of NCBA staff and temporary personnel as the primary point of contact for the registration function on-site.
  • Responds to internal/external client telephone and e-mail inquiries throughout the year and specifically during pre-Summer Business Meeting and pre-Convention periods to provide a source of customer service.
  • Assist with management of official Housing, site selection and registration supplier.
  • Back up Housing manager.
  • Assist as needed with necessary logistical aspects of NCBA events, including transportation, lodging, and vendor partnerships.
  • Responsible for management of several suppliers for the Cattle Industry Convention including the RFP process, contracting, negotiations, on site management etc.
  • Implements, and in some cases, serves as the team captain for tactical events within the NCBA meetings.
  • Management of additional small meetings outside of the convention.
  • Some travel is required and may be extensive at times, including weekends (sometimes early/late hours)
  • Weight Lifted/Force Exerted: Up to 50 pounds: Up to 1/3 of time
  • Other job duties as assigned.

     

MINIMUM QUALIFICATIONS 

  • EDUCATION – Bachelor’s degree in hospitality, event management, business administration, or a related field.
  • EXPERIENCE   Minimum 4-6 years convention and meeting planning experience.  Registration and/or housing systems experience helpful.

  • SKILLS- Excellent communication, collaboration and customer service skills.  Individuals must be innovative and possess excellent coordination skills.  Develop proficiency in Microsoft office products (especially word, excel, and PowerPoint), basic accounting/cash controls, basic html coding and general computer systems administration to ensure efficient and effective registration and housing processes.  Strong attention to details and ability to positively impact team environment.
