Overview
Department is located at 300 George Street, Suite 901 but the position will be fully remote for this temporary position. Reporting to the Director of Medical Education Administration, this position is directly responsible for ensuring compli-ance with numerous Department, Medical School, and Hospital policies and procedures as well as with federal and national requirements and accreditation standards for Yale psychiatry residents, Yale medical students, and Yale PA students as well as both international and US visiting students. With a high level of autonomy and limited contact with the Clerkship Director, this position is responsible for managing all aspects of both the 4 week (PA) and 6 week (medical student) psychiatry clerkships as well as all elective rotations. This position is responsible for the manage-ment of the evaluation system and procedures for evaluation of medical students, residents, and faculty. This position is responsible for handling highly confidential material regarding the evaluation of faculty, residents, and students and exercising independent judgment about the use of faculty and trainee evaluation data. This individual works directly with leadership and faculty at all four major teaching affiliates and at other institutions as well as with medical school and hospital administration. This position assists in the supervision of one administrative support person.
Required Skills and Abilities
1. Demonstrated ability to plan and manage multiple projects with proven accountability for accurate, timely, and comprehensive project execution. Proven ability to multi-task within a high volume and multi-unit environment.
2. Strong organizational skills and attention to detail is a must. Highly adept at multitasking; proven ability to manage multiple complex and deadline-driven priorities with a high level of independence.
3. Demonstrated ability to manage time and resources effectively, measure and monitor progress and redirect efforts as needed. Ability to anticipate changes in the administrative environment and proactively manage change.
4. Excellent interpersonal skills and ability to interact with faculty, staff, residents, students, and other stake-holder at all levels in a highly professional demeanor and excellent customer service skills. Ability to deal with complex issues and sensitive situations that require confidentiality and discretion.
5. Proficiency in Microsoft Office Suite, file share systems and various web-based systems. Experience with Thalamus and MedHub preferred.
Preferred Skills and Abilities
Four years of related work experience, two of them in the same job family and an associate degree; or two years of experience and a bachelor degree in a related field; or an equivalent combination of experience and education.
Principal Responsibilities
1. Manages multiple support, information, and guidance programs to develop community among University students. 2. Develops the support, information, and guidance programs to meet the specific needs of students in both academic and non-academic areas. 3. Assesses and identifies needs of the student community; develops multiple programs and resources to support these needs. 4. Promotes student development through individual advising, outreach, resources, and information sessions on assigned programs. 5. Develops and ensures adherence to protocol for promoting and publicizing activities and specific elements of assigned programs. 6. Directs, trains, supervises, and evaluates the performance of a full time student support team assigned to the department. 7. Serves as back-up for interviews with new or prospective students; offers information and answers questions about academic and non-academic issues at the University. 8. Designs outreach materials such as student employment applications and instructions for supervisors and students; plans public training meetings for University staff and students. 9. Participates in and contributes to office projects including development and maintenance of website, departmental meetings, and staff meetings. 10. Executes program changes as necessary in cooperation with other student services functions. 11. Supervises a staff of exempt and nonexempt employees. 12. May perform other duties as assigned. Required Education and Experience Bachelor’s Degree in a relevant field. A minimum of four years of related experience or equivalent combination of education and experience.
