Position Summary:
The HR Compliance Specialist is a technical, analytical, and cross-functional compliance professional responsible for coordinating sensitive legal requests, managing HR compliance data, and supporting investigations. This role combines elements of legal case coordination such as subpoena and agency request handling with HR compliance expertise in policy management, data analytics, and process improvement. The Specialist acts as a strategic bridge between HR, internal and external Legal counsel, and operational leadership ensuring timely, accurate, and secure handling of compliance matters while producing data-driven insights to proactively reduce risk.
Responsibilities
Legal & Compliance Operations
· Coordinate and track responses to subpoenas, litigation holds, EEOC claims, and other agency/legal document requests in collaboration with internal and external legal counsel.
· Maintain and continuously improve the claims/legal matter tracking dashboard to ensure real-time visibility into case status, deadlines, and compliance metrics.
· Oversee secure document retention processes using digital platforms in alignment with legal requirements and company policies.
· Compile and synthesize case data to identify trends, recurring risks, and opportunities for compliance improvements.
Policy & Documentation Management
· Own the maintenance and version control of HR compliance policies, employee handbook, and policy repositories.
· Assist in maintaining the company handbook, including updating content, coordinating revisions, and overseeing translations to ensure accuracy and compliance across all locations.
· Coordinate with HR and Legal to ensure policy updates are communicated, documented, and auditable.
· Create clear, accessible compliance documentation for internal stakeholders.
Data & Reporting
· Extract, clean, and analyze data from HRIS, case management, and document tracking platforms to inform compliance strategies.
· Prepare visual, executive-ready reports that translate data into actionable insights for leadership.
· Monitor KPIs related to compliance, legal requests, and investigations.
Cross-Functional Collaboration
· Serve as a liaison between HR Compliance, Legal, IT, and operational teams to ensure accurate and timely exchange of sensitive information.
· Participate in audits and assist in preparing audit-ready documentation.

· Proactively identify process inefficiencies and lead implementation of system or workflow improvements.
Qualifications
Education: Bachelor’s degree in Human Resources, Business, Legal Studies, Data Analytics, or related field preferred.
· Experience: 2–5 years in HR, Compliance, Legal Operations, or Investigations. Experience supporting legal counsel and managing compliance systems preferred.
· Technical Skills: Proficiency with Microsoft Excel, SharePoint, ServiceNow, NAVEX, GenAI platforms (e.g., Copilot, ChatGPT) and data visualization tools (e.g., Power BI).
· Knowledge: Strong understanding of HR compliance standards, employment law basics, and secure document management practices.
