Overview:

Florida Woman Care, the largest OB/GYN group practice in the state of Florida, has a state of the art CAP-accredited lab in the Tampa area with specialists in GYN and Cytopathology to produce the highest quality diagnoses of laboratory specimens.

We currently have over 200 medical offices and over 600 OB/GYN Providers throughout the state of Florida.


The Florida Woman Care Laboratory performs Histology, Cytology, Molecular Microbiology and Non-Invasive Prenatal Testing (NIPT). 

 

 

The Laboratory Patient Financial Services Associate supports the financial resolution of patient accounts throughout the laboratory revenue cycle. This position is responsible for accurately posting and reconciling patient payments within the electronic medical record system, coordinating with internal teams and external patient accounts receivable vendors, and managing escalations submitted by care centers regarding patient billing and account concerns.

 

The associate will research and resolve a broad range of patient-related revenue cycle issues, including coordination of benefits denials, incomplete or inaccurate patient demographic and insurance information, payment allocation discrepancies, patient credit balances, and other account issues that may delay claim processing or prevent accurate balance resolution. When necessary, the associate will communicate directly with patients, care centers and vendor partners to obtain information, explain account activity, and facilitate timely resolution.

 

This role serves as a key liaison among Laboratory Revenue Cycle Management, Client Services, care centers, patients, and external vendors. The successful candidate will demonstrate strong analytical skills, attention to detail, sound judgment, and the ability to manage multiple priorities while providing responsive and professional service. The associate will also identify recurring account issues, escalate systemic concerns, and support process improvements that promote accurate payment application, efficient account resolution, and a positive patient and care center experience.

Responsibilities:
  • Post patient payments, payment-plan transactions, refunds, transfers, and other financial activity accurately within the electronic medical record and applicable billing systems.
  • Research and resolve patient credit balances and requests to transfer funds between patient accounts, laboratory accounts, or care center departments.
  • Collaborate with external patient accounts receivable vendors.
  • Manage patient billing escalations submitted by care centers and other internal stakeholders.
  • Assist patients with billing questions by explaining balances, payments, insurance activity, financial assistance options, and next steps in a clear and professional manner.
  • Track escalated accounts through final resolution and provide timely follow-up to care centers, patients, vendors, and internal stakeholders.
  • Identify recurring patient billing issues, vendor workflow deficiencies, and process breakdowns and escalate trends to laboratory leadership.
  • Perform other patient financial services and laboratory revenue cycle responsibilities as assigned.
Qualifications:
  • High school diploma or equivalent required; associate degree from an accredited college or university preferred.
  • Minimum of three years of experience in medical billing, patient financial services, accounts receivable, payment posting, collections, revenue cycle operations, or a comparable healthcare support role.
  • Previous experience researching and resolving patient account issues, billing inquiries, claim denials, or revenue cycle escalations preferred
  • Experience posting and reconciling patient payments within an electronic medical record, practice management system, or healthcare billing platform preferred.
  • Experience working with external billing, payment, collection, or patient accounts receivable vendors preferred.
  • Certified Professional Coder certification, along with relevant billing, revenue cycle, payment-posting, or patient financial services certifications, are preferred but not required.
  • Experience with athenahealth or a comparable electronic medical record and practice management system preferred.
  • Laboratory, physician-practice, or OB/GYN billing experience preferred but not required.
  • Knowledge of HIPAA, patient confidentiality requirements, and applicable healthcare billing and collection regulations.
  • Strong analytical and problem-solving skills, with the ability to review account activity, identify the cause of an issue, and determine the appropriate resolution.
  • Strong attention to detail and commitment to accurate payment posting, account documentation, and financial reconciliation.
  • Ability to manage multiple work queues, escalations, follow-up activities, and competing priorities within established service-level expectations.
  • Strong written and verbal communication skills, including the ability to explain complex billing and insurance matters clearly to patients, care center representatives, vendors, payers, and internal stakeholders.
  • Strong interpersonal and customer-service skills, with the ability to manage sensitive or escalated situations calmly and professionally.
  • Ability to collaborate effectively with Revenue Cycle Management, Client Services, care centers, external vendors, payers, and laboratory leadership.
  • Ability to identify recurring account issues, workflow deficiencies, and trends and communicate findings to leadership.
  • Ability to travel occasionally, as business needs require.
